Administrative Assistant – Nextstep Counseling Services, LLC.

Purpose of Position

The Administrative Assistance position with Nextstep Counseling Services plays a pivotal role in assuring our clients receive the services they desire in an efficient and timely manner. The Administrative Assistant is responsible for overall front office duties including providing administrative support to Nextstep staff and communicating with clients both face to face and via phone.

Duties and Responsibilities:

  • Answer incoming telephone calls, taking and conveying associated messages with staff and clients.
  • Processing new requests for services in a timely and efficient manner.
  • Interacting with physician’s offices to obtain PCP referrals as needed for client services.
  • Keeping and maintaining accurate logs of clients
  • Assisting in scheduling initial appointment with assigned therapist.
  • Verifying client’s coverage with payor source (Insurance, Medicaid, Medicare etc.).
  • Assisting with scheduling and confirming psychiatric appointments with staff physician.
  • Assist with maintaining office safety and performing emergency drills.
  • Collect and update client information as needed.
  • Taking and keeping a log of client payments.
  • Assist with making sure office staff as supplies needed to perform job and order supplies additional as needed.
  • Answer client inquires and direct to appropriate staff.
  • Provide customer service to clients and outside vendors as needed.
  • Greet clients upon arrival.
  • Offers support and empathy to staff and clients as appropriate.
  • Data entry
  • Assisting site supervisor
  • Other general office duties.
  • Other duties as assigned.

Qualifications:

  • Must be at least 18 years of age.
  • Effective written and verbal communication skills.
  • Ability to document accurately and professionally.
  • Possess good grammar and spelling.
  • Possess strong computer skills.

Job Type: Full-time

Pay: $15.00 - $20.00 per hour
