Seeking a highly organized and motivated Executive Assistant to support the broker/owner. The ideal candidate will perform a variety of administrative tasks and take on additional responsibilities to enhance the efficiency and productivity of our files, office, and rental properties.
Key Responsibilities:
Executive & Administrative Support:
- Manage calendars, meetings, appointments, and priorities for the Broker/Owner
- Handle incoming emails and correspondence as necessary.
- Manage and maintain real estate listings and client databases.
- Schedule and coordinate meetings, appointments, and property showings.
- Prepare and distribute marketing materials, including flyers, online listings, and social media content.
- Maintain and organize office files, both electronic and paper.
- Maintain KV Core, monthly newsletters, and mailers.
Transaction Coordination:
- Assist in the preparation and review of contracts, agreements, and other legal documents.
- Work closely with the office Administrative Assistant and Manager to maintain file compliance.
- Prepare listings with measurements, keybox assignments, sign installation, and update riders.
- Correspond with buyers, sellers, and agents to ensure the timely completion of transactions.
- Track deadlines and ensure all necessary documentation is completed and filed.
Client Relations:
- Maintain positive relationships with clients, vendors, and service providers.
- Prepare closing gifts, handwritten notes, and anniversary cards.
Marketing and Social Media:
- Develop and manage social media content to promote listings, the agent, and the company brand.
- Monitor and analyze the effectiveness of marketing campaigns.
- Create engaging content.
Financial and Operational Duties:
- Assist with budgeting and financial reporting via QuickBooks.
- Handle invoicing, accounts payable, and receivable.
Property Management:
- Assist with property management.
- Help prepare rental properties for move-in.
Special Projects:
- Assist in the planning and execution of company and community events and initiatives.
- Conduct market research and analysis to support business development efforts.
- Assist in scheduling travel, including flights, hotels, and transportation.
- Assist with LeadingLane as needed.
- Assist with receipt input.
Qualifications:
- High school diploma or equivalent; an associate’s or bachelor’s degree in business, real estate, or a related field is preferred.
- Previous administrative experience.
- Knowledge of real estate industry practices and terminology is preferred.
- Proficient in calendar management.
- Excellent organizational and multitasking skills.
- Proficient in Microsoft Office Suite, CRM software, Canva, and social media platforms.
- Outstanding communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Real estate license within one year.
