What we’re looking for:
We are seeking an energetic, enthusiastic Sales & Operations Coordinator to join our fast-growing and dynamic team.
What You’ll Be Doing
This position will have multiple roles ranging from: sales team support, working with sales management, assisting with pre-qualification requirements for customers, creating new presentations, organizing sales-related events, assisting the operations team with the creation, submission and organization of AIA (American Institute of Architects) pay applications and all associated waivers. The expectation is that this person will be in the office Monday-Friday, 8:30 AM – 5 PM, but remote work may be available upon request / manager approval.

With Sales Representatives
- Manage onboarding package distribution and return of information with new customers, working with AR to ensure timely return from customers.
- Oversee required pre-qualification documentation, coordinating with internal departments such as HR, Safety, and IT when needed.
- Assist in coordinating internal project kick-off meetings.
- Own project booking process to ensure all information is accurate, including supporting documentation.
- Track booking process and follow-up with sales for missing documentation.
- Act as the liaison between sales and accounting on escalation matters.
- Create AIA (American Institute of Architects) pay applications.
- Assist with lien waivers (Conditional, Unconditional, etc.).
- Submit AIA (American Institute of Architects) pay applications and lien waivers to appropriate AP Inboxes and/or AP Portals.
- Assist with overall organization of pay Applications, waivers and contracts.
- Must be able to communicate effectively and professionally in both written and verbal manner to both customers and to those within the company.
- Must possess a positive attitude and be willing to interact with customers, co-workers, and other personnel at all times.
- Ability to manage multiple projects at a time while paying strict attention to detail.

- BA/BS degree or equivalent experience.
