Position Summary
The Director of Finance oversees NextFlex’s daily accounting operations, financial reporting, internal controls, and compliance functions. This role ensures the accuracy, transparency, and integrity of financial data; manages accounting and finance team members; develops and maintains financial policies and procedures; and supports strategic financial planning. Because NextFlex works closely with the Department of Defense (DoD), this role leads the financial management of cost proposals, federal contracts, awards, and cooperative agreements. The position requires experience in project/product cost accounting and full compliance with GAAP/revenue recognition, Uniform Guidance (2 CFR 200), and Federal Acquisition Regulation (FAR). The Director of Finance provides timely insights and recommendations to executive leadership to guide decision‑making and long‑term organizational health.

Our Finance function is not a traditional, single system accounting team, it is a distributed control environment spanning payroll, project costing, contracts, and multiple systems. We are seeking a Director of Finance who thrives in this kind of complexity and understands how finance truly operates in practice. The Director of Finance is the senior finance and accounting leader responsible for financial accuracy, audit readiness, project level financial integrity, and accounting judgment across the organization. A successful candidate will combine deep technical accounting expertise with hands‑on leadership.

- Financial Management & Reporting
- Oversee daily accounting operations, including accounts payable, accounts receivable, payroll, cash management, purchase order control, billing, cost allocation, and fixed assets.
- Own the accuracy and integrity of the general ledger, month end close, journal entries, reconciliations, financial schedules and statements to ensure accuracy, consistency, and audit readiness.
- Maintain compliance with GAAP, Uniform Guidance (2 CFR 200) including procurement standards, cost principles, internal controls, and subrecipient monitoring, and other non-profit and federal contractor regulatory financial requirements.
- Ensure payroll results accurately feed project costing, financial statements, and reporting. Review and resolve payroll anomalies, system glitches, reconciliation discrepancies, and labor coding issues.
- Prepare and submit required federal financial reports and annual tax filings for all entities (C6, C3, C‑Corp).
- Maintain accurate tracking and reporting of restricted and unrestricted funds. Calculate and adjust cost allocations as needed.
- Maintain audit-ready records for DCAA, DCMA, and independent external auditors, serving as the primary liaison.
- Project & Contract Compliance
- Oversee project financial setup and activation, including budgets, labor charging controls, and system configuration.
- Ensure accurate project financial tracking through master project controls, reporting, and records. Prepare contract-specific financial reports and collaborate with program teams on budget adherence.
- Ensure compliance with applicable accounting standards, FAR, Uniform Guidance (2 CFR 200), internal controls, and contractual requirements.
- Review project P&Ls, budget vs actuals, and financial reports to identify anomalies and emerging risks.
- Support leadership with meaningful interpretation of financial results, not just transaction reporting.
- Track allowable vs. unallowable costs and ensure expenditures align with approved budgets and scopes of work.
- Monitor and report on government and corporate contracts; ensure internal and subrecipient compliance with contract budgets, timelines, and allowable expenses.
- Indirect Rates & Cost Structures
- Manage development and maintenance of: Indirect cost rates (fringe, overhead, G&A) and provisional billing rates.
- Prepare cost models for DoD budget proposals and pricing submissions.
- Ensure consistent application of cost principles across all DoD and non‑DoD awards.
- Support proposal development by preparing federally compliant budgets and cost narratives.
- Internal Controls & Financial Policies
- Develop and maintain financial policies and procedures that improve operational efficiency, ensure strong internal controls, and meet GAAP and federal regulatory requirements.
- Ensure compliance with federal (IRS), state, and local regulations, including Form 990 preparation.
- Oversee procurement compliance, ensuring proper documentation for competitive bidding, sole-source justifications, and cost analyses.
- Update policies related to procurement, subcontracting, timekeeping, travel, cost allocation, and cybersecurity compliance.
- Support subcontractor oversight, including flow-down compliance and cost monitoring.
- Budgeting & Forecasting
- Lead the annual budgeting process, partnering with department leaders to develop realistic and mission-aligned budgets.
- Monitor monthly financial performance and communicate revenue and expense variances with actionable recommendations to Executive Director.
- Support multi-year financial forecasting, sustainability planning, and scenario modeling.
- Systems & Process Improvement
- Responsible for Finance’s multi-system environment, including: Accounting, Project Reporting, ERP, Time & Labor, Payroll, AP & Spend Controls, and internal control files.
- Ensure consistency of data and intent across systems that are not fully integrated or automated.
- Lead troubleshooting when uploads, syncs, or reports break or behave unexpectedly.
- Lead NetSuite implementation while maintaining current state operational stability.
- Oversee financial systems and ensure alignment with DoD requirements, including timekeeping, procurement, and cost tracking systems.
- Oversee accounting and financial software platforms and support system upgrades or implementations.
- Optimize integration between accounting systems and contract management tools.
- Identify opportunities to streamline financial processes and enhance accuracy and efficiency.
- Strengthen financial workflows, documentation processes, and audit-readiness systems.
- Leadership & Collaboration
- Supervise and mentor accounting and finance team members, promoting a collaborative culture and supporting professional growth.
- Partner with cross‑functional teams to support financial understanding, budget alignment, compliance, reporting, and operational decision‑making.
- Present financial results and insights to executive leadership and/or board committees.
- Serve as internal subject matter expert on federal and DoD financial compliance.
- Education & Experience
- Bachelor’s degree in Accounting, Finance, or related field (Master’s preferred).
- CPA required.
- Strong technical accounting background, including controller‑level responsibility.
- Public accounting experience.
- Experience with project or contract-based organizations. Experience managing federal contracts (preferably DoD).
- Experience in a supervisory or management role.
- Experience in a start-up environment.
- Experience working in a highly regulated environment and as a federal contractor (DoD preferred) and familiarity with government contracting and funding; experience working in for profit, non-profits, C6, C3 and C-Corp entities.
- Strong experience in revenue recognition in multiple industries, audit, payroll accounting, project costing, and contract management.
- Experience in a multi-entity environment, including ERP, cost accounting, budgeting, analysis, and financial systems.
- Experience operating in multi system, partially manual finance environments.
- Experience with DCAA compliance, cost-reimbursement billing, and provisional rates.
- Knowledge, Skills & Abilities
- Exceptional judgment, analytical skills, accuracy and attention to detail.
- Comfortable acting as both strategic finance leader and hands on control owner.
- Strong knowledge of GAAP, nonprofit financial management and accounting standards, and Uniform Guidance (2 CFR 200).
- Strong understanding of federal contracting and compliance requirements.
- Strong leadership skills, collaboration skills, and excellent written and verbal communication.
- Ability to communicate complex financial information to non-financial audiences.
