Job Title: Executive Administrative & Personal Assistant to CEO
Location: New York, NY (Chelsea) – Hybrid – in office as needed (Approximately 3 days in-office per week)
About the Role
We are seeking an exceptionally detail-oriented, highly organized, and proactive Executive Administrative & Personal Assistant to support the CEO of a fast-growing cybersecurity company. This role requires a professional who thrives in a dynamic, fast-paced environment and can manage competing priorities with precision and discretion.
The ideal candidate operates with a meticulous attention to detail, anticipates needs before they arise, and ensures the CEO’s day-to-day operations run seamlessly.
Key Responsibilities
- Manage and optimize the CEO’s complex and evolving calendar, ensuring efficient scheduling and prioritization of meetings and commitments across business and personal ecosystems
- Oversee and maintain the CEO’s inbox, including drafting responses, flagging priorities, and ensuring timely follow-ups
- Prepare comprehensive, highly detailed travel itineraries for frequent trips (minimum once per month)
- Develop and maintain daily task lists and priority briefings for the CEO, incorporating input from internal stakeholders across business and personal ecosystems
- Serve as a central point of coordination between the CEO and internal/external partners
- Anticipate operational needs and proactively solve problems to ensure efficiency and continuity across business and personal ecosystems
Qualifications
- Based in New York City and able to work in-office at least 3 days per week
- Proven experience in an executive assistant, personal assistant, or similar high-level administrative role
- Exceptional attention to detail and organizational skills; ability to maintain accuracy under pressure is critical
- Strong ability to multitask and manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills with strong interpersonal capabilities
- High level of professionalism, discretion, and sound judgment
- Ability to work independently while maintaining alignment with a broader team
- Experience supporting C-level executives in high-growth or fast-paced industries
- Proficiency in Apple ecosystem, Microsoft Office Suite, and Google Workspace
Preferred Background
- Experience with IT and Mac OS personal systems
- Experience or familiarity with cybersecurity, communications, or related fields
