This role is the operational engine of the department, ensuring that every process, communication, and milestone is executed with care, consistency, and follow-through to completion.
The People & Culture Associate works closely with the Director of People & Culture to keep clinician
lifecycle processes running smoothly, support HR initiatives, and maintain the systems that allow
leadership to stay focused on development, performance, and strategy. This is a junior position on the
leadership team — and an excellent entry point for someone who wants to grow in HR, operations, or
people-centered work in a values-driven organization.
What Success Looks Like in This Role
- Clinician lifecycle milestones are consistently scheduled, tracked, and fully prepared in advance, with no gaps or delays
- Systems (Paylocity, SimplePractice, trackers) are accurate, up to date, and require minimal correction or follow-up
- Communication is timely, clear, and proactive, reducing the need for repeated check-ins or clarification
- Tasks are owned from start to finish, with strong follow-through and minimal oversight required
- The Director of People & Culture can rely on this role to keep operations moving seamlessly and without disruption
- Clinicians experience clear, consistent, and supportive processes throughout onboarding, transitions, and day-to-day engagement
- Data and reporting are organized, accessible, and ready to support leadership decision-making at any time
Key Responsibilities
- Clinician Lifecycle Coordination (30 Day / 90 Day / 6-Month / 1-year Milestones)
- Schedule and coordinate 30-day, 90-day, 6-month, and 1-year check-ins for clinicians
- Track upcoming milestone dates and ensure timely scheduling and preparation with clinical supervisors
- Maintain tracking systems for clinician progress and key benchmarks (weekly confirmed session averages, engagement levels, documentation expectations)
- Prepare relevant data and summaries ahead of check-ins to support leadership conversations
HR Initiatives & Strategic Support
- Support the execution of HR initiatives that enhance clinician engagement, retention, performance, and professional development
- Assist with process improvements to strengthen workflows and scalability
- Help organize and track progress of ongoing People & Culture initiatives
Employee Experience & Support
- Serve as a point of contact for employee questions related to policies, procedures, paid time off, sick time, retirement planning, and general HR inquiries
- Ensure timely, clear, and supportive communication across the team
- Reinforce a culture that balances support with accountability and involving relevant partners where necessary
Onboarding & Transitions
- Coordinate onboarding processes, including new hire orientation tracking, documentation, and system setup
- Support clinician transitions (intern → LP, LP → licensed) to ensure clarity and continuity
- Ensure all onboarding and off boarding steps are completed accurately and on time HR Operations
- Maintain accurate employee records across systems (Paylocity, SimplePractice, etc.)
- Track key dates (hire anniversaries, benefits eligibility, LP renewals/extensions)
Performance & Workforce Support
- Track clinician performance metrics and engagement trends
- Assist in preparing performance-related communications (check-ins, follow-ups, PIPs)
- Ensure data is organized and accessible to support leadership decision-making
Communication & Coordination
- Draft and send internal HR communications and updates
- Coordinate meetings, trainings, and HR-related initiatives
- Collaborate cross-functionally to support operational and clinical alignment
- Handle general data entry, pay operational invoices, and respond to basic employee HR inquiries
Collateral & Resource Coordination
- Create flyers and QR codes; manage support group calendar
- Create new therapist flyers and business cards; add clinician profiles to the website
- Order marketing materials and swag; maintain inventory count
Professional Qualifications
- Bachelor's degree in Human Resources, Business Administration, Communications, or a related field — or equivalent work experience
- 2 years of experience in an administrative, HR support, or operations coordination role (experience in a healthcare or mental health setting is a plus)
- Proficiency with platforms such as Google Workspace, Paylocity, SimplePractice, or similar HR/practice management systems; ability to learn new tools quickly
- Strong organizational skills with the ability to manage multiple deadlines, tracking systems, and competing priorities without losing accuracy
- Clear and professional written and verbal communication skills, with the ability to interact respectfully across all levels of staff
- Strong sense of ownership with the ability to follow through on tasks to completion with minimal oversight
- Demonstrated ability to handle sensitive and confidential information with discretion, in alignment with HIPAA and workplace privacy standards
- Comfortable working in a fast-paced, people-centered environment where priorities can shift

Compensation & Benefits
- Pay: $24–$25 per hour | Full-time, 40 hours per week
