Responsibilities:
Implement General Affairs Projects
- Manage office supplies, uniforms and company assets (Including inventory control).
- Support Company vehicle pool operation, usage logs, and fuel/charging records (Including vendor agreement).
- Assist with facility-related matters (maintenance requests, equipment setup, canteen support).
- Liaise with external vendors and outsourced vendors (printers, coffee machine, janitorial/facility management/ landscaping services, etc.).
- Research vendors for office supplies/equipment/facility management and outsourcing services
Assist in employee engagement events, meetings and corporate communication.
- Support meeting scheduling, room reservations, and logistics.
- Provide general assistance to employees for administrative requests.
Handle document filing, data entry, and internal communication support.
- Budgeting, Scheduling and Make payment for invoices
- Assist with incoming/outgoing mail and courier services.
- Prepare simple report and presentations as directed.
- Address employee inquires and concern about office general affairs matters.
Ensure compliance with company GA policies (Office rules, safety regulations).
- Implement necessary policies & procedures related to office and corporate programs
Other tasks as necessary to meet the organization's objectives
- Provide high quality work by ensuring accuracy and seeking to continuously improve our processes and platforms by embracing new and better ways of doing things
- Serves as backup to other administrative tasks and performs other duties as assigned
Qualifications:
- Bachelor's degree or equivalent practical experience
- 0-2 years of relevant experience. (Internship or part-time experience acceptable).
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills for presenting findings and recommendations.
- Solid technical proficiency in MS Excel, PowerPoint, etc..
- Positive attitude, willingness to learn, and strong sense of responsibility.
- Organize/host and/or participate in conference calls with the project team, often across multiple time zones.
- Effectively prioritize and execute tasks in a high-pressure environment.
- Confident working independently, able to get to grips with new areas of work.
- Ability to balance with deadline- based projects
- A personal style that enables relationships of confidence and trust to built quickly with the most stakeholders
Salary : $70,000 - $80,000
