What are the responsibilities and job description for the AI Business Process Automation Manager position at NexHub Solutions Inc.?
About Us
We are a fast-growing company focused on electric scooters, e-bikes, and related consumer electronic products for the North American market. Our business covers DTC websites, Amazon, Walmart, Target, Best Buy, Costco, warehouse operations, customer service, after-sales support, logistics, finance reconciliation, advertising, product data, and retail channel operations.
We are looking for an AI Business Process Automation Manager to help bring AI and automation into our daily business operations. This is not a pure AI training role and not a pure software development role. The right person needs to understand real business workflows, identify repetitive and rule-based tasks, and turn them into AI workflows, SOPs, templates, spreadsheets, automation tools, or internal process tools.
This is a hands-on role. You will work closely with different teams to improve accuracy, reduce manual work, and make our internal operations more efficient and scalable.
Responsibilities
- Learn and document daily workflows across multiple departments, including logistics, customer service, DTC operations, marketplace operations, warehouse operations, after-sales support, advertising, product data, and finance reconciliation.
- Identify high-frequency, repetitive, rule-based, and error-prone tasks that can be improved through AI, automation, better SOPs, templates, or spreadsheet tools.
- Build practical AI workflows, prompts, playbooks, SOPs, checklists, templates, and knowledge bases for different business functions.
- Work with department team members to collect real examples, historical files, emails, ERP exports, invoices, advertising reports, warehouse bills, order data, and other materials needed to improve AI output quality.
- Test, review, correct, and improve AI-generated results to make sure they are accurate, practical, and usable in real business situations.
- Build structured trackers, Excel/Google Sheet tools, reconciliation templates, task checklists, and semi-automated workflows based on real operating needs.
- Help connect AI tools with existing business tools such as ChatGPT, DeepSeek, Google Sheets, Excel, ERP exports, advertising platforms, website backends, warehouse systems, and internal communication tools.
- Train and support employees on how to use AI properly in their own daily work, including how to provide context, upload reference materials, review AI results, correct outputs, and apply AI-generated work in real tasks.
- Help establish AI usage guidelines and risk control rules, especially for pricing, refunds, compensation, legal matters, product safety, customer privacy, finance data, account access, and website/backend changes.
- Track the results of AI and automation projects, including time saved, error reduction, response speed improvement, and workflow efficiency.
- Work with internal or external developers when needed to turn mature workflows into scripts, small tools, semi-automated agents, or internal automation systems.
- Complete other business process improvement, data organization, automation, and AI implementation tasks as assigned.
Qualifications
- Experience in at least one of the following areas: cross-border e-commerce, DTC operations, Amazon/Walmart/Shopify operations, ERP workflows, customer service, logistics, finance reconciliation, advertising data analysis, warehouse operations, or business process improvement.
- Strong practical experience using AI tools such as ChatGPT, DeepSeek, Codex, Claude, or similar tools to solve real business problems.
- Strong Excel skills, including data cleaning, formulas, filters, pivot tables, reconciliation, and reporting. Google Sheets experience is a plus.
- Ability to break down business workflows into clear steps, input requirements, rules, outputs, exception handling, approval points, and SOPs.
- Strong business sense and problem-solving ability. Must be able to understand real operational pain points instead of only discussing AI concepts.
- Good written English skills. Must be able to understand customer emails, platform notices, advertising dashboards, website tools, warehouse invoices, logistics documents, and other English business materials.
- Strong communication skills and the ability to work with different departments, gather requirements, explain workflow changes, and push projects forward.
- Detail-oriented, hands-on, and results-driven. Must be willing to test, revise, and improve workflows repeatedly until they work in real business use.
- Basic understanding of APIs, automation tools, scripts, databases, permissions, and workflow logic is preferred.
- Experience with Python, SQL, Google Apps Script, RPA tools, low-code tools, or internal tool development is a plus, but not required.
- Must be legally authorized to work in the United States. Work authorization will be verified after hire.
Preferred Experience
- Experience implementing AI tools, automation workflows, ERP process improvements, data automation, or internal operations tools in an e-commerce or cross-border business environment.
- Experience building customer service reply templates, advertising data analysis workflows, logistics bill reconciliation tools, finance reconciliation templates, order processing trackers, or warehouse workflow tools.
- Familiarity with Amazon, Walmart, Shopify, DTC websites, advertising platforms, overseas warehouses, customer service systems, or logistics billing processes.
- Ability to write clear SOPs, training materials, process documents, and user guides.
- Ability to communicate technical requirements to developers and test whether internal tools meet business needs.
Ideal Candidate
The ideal candidate is not just someone who “knows AI” and not just someone who writes code. We are looking for someone who can understand real business operations, identify inefficient workflows, build practical tools, and help employees actually use AI in their daily work.
You should be comfortable working from 0 to 1, dealing with messy real-world workflows, asking detailed questions, organizing information, testing outputs, and turning business knowledge into repeatable systems.
This role is a good fit for someone who enjoys AI, automation, e-commerce operations, data organization, process improvement, and practical problem solving.
