Overview
Join NexGen Research, a rapidly growing independent clinical research site in Lima, Ohio, as a Part-Time Accountant/Bookkeeper with opportunity to transition to full-time as our operations expand. In this hands-on role, you’ll maintain financial accuracy and audit readiness across sponsor invoicing, accounts payable/receivable, and study budget reconciliation using QuickBooks Online. Your attention to detail will ensure every dollar is tracked, every invoice is timely, and every payment is reconciled—supporting NexGen’s mission to deliver high-quality clinical trials in metabolic and pain research.
What you’ll do
- Create & send milestone invoices to sponsors (startup, enrollment, closeout) using CRIO clinical trial system and QuickBooks Online (QBO)
- Track pass-through costs and ensure full reimbursement
- Manage AP/AR: Pay vendors weekly, chase sponsor payments, reconcile monthly
- Reconcile study budgets with CRCs and generate sponsor-ready reports
- Support audits with clean, organized records
- Prepare and maintain accurate financial records, including journal entries and general ledger accounting.
- Conduct balance sheet reconciliation and account analysis to ensure financial accuracy.
- Manage accounts payable and accounts receivable processes, ensuring timely payments and collections.
- Perform bank reconciliation and payroll processing to maintain smooth financial operations.
- Generate financial reports that provide insights into budgeting and overall financial health.
Experience
- QuickBooks Online proficiency (3 years) – invoicing, AR/AP, reconciliations, custom reports
- 2 years in bookkeeping/accounting (clinical research or healthcare a plus)
- Advanced Excel (pivot tables, VLOOKUP)
- Associate’s or Bachelor’s in Accounting/Finance (or equivalent experience)
Nice-to-Have
- Experience with clinical trial budgets or sponsor invoicing
- Familiarity with CRIO CTMS
- QuickBooks ProAdvisor or ACRP certification
