SPECIAL PROJECTS ASSISTANT
FLSA: Non-Exempt
Purpose of Classification:
The purpose of this classification is to provide support in the planning and execution of County special projects and
events. This position assists the Executive Assistant to the Chairman by handling operational, logistical, and
administrative tasks associated with events at Gaither’s at Myrtle Creek Farm and other locations throughout the
County. The role ensures smooth project implementation through hands-on coordination, vendor assistance, and
marketing support.
Essential Functions:
The following duties are normal for this position. The omission of specific statements of the duties does not exclude
them from the classification if the work is similar, related, or a logical assignment for this classification. Other
duties may be required and assigned.
Provides day-to-day support to the Executive Assistant to the Chairman in carrying out County-sponsored special
projects and events.
Assists with event planning logistics, including set-up, decoration, signage, materials, and on-site coordination before,
during, and after events.
Helps coordinate with third-party vendors and service providers, ensuring timely delivery of supplies, equipment, and
contracted services.
Supports the execution of marketing and promotional efforts in coordination with the County Communications Team
(e.g., updating websites, distributing flyers, providing social media content).
Assists with scheduling tours, rentals, and small-scale bookings at Gaither’s, ensuring compliance with approved
contracts and established guidelines.
Monitors and reports basic budgetary items related to assigned projects; tracks invoices and submits documentation
for processing.
Provides customer service by responding to routine inquiries from citizens, vendors, and community partners.
Completes administrative tasks such as filing, maintaining project records, and preparing simple reports for review by
the Executive Assistant.

Participates in event set-up and tear-down activities, ensuring facilities are restored after use.
Additional Functions:
Performs other related duties as required.
Minimum Qualifications:
Associate’s Degree or two (2) years of coursework in Event Planning, Marketing, Communications, or a related field
preferred. Three (3) years of experience in event coordination, hospitality, or administrative support; or any
equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and
abilities for this job.
Specific License or Certification Required: Must possess and maintain a valid Georgia driver’s license.
Specific Knowledge, Skills, or Abilities:
Ability to follow direction and work collaboratively under the supervision of the Executive Assistant to the Chairman.
Familiarity with event logistics, scheduling, and vendor coordination.
Customer service orientation and ability to interact with the public in a professional and courteous manner.
Basic proficiency in Microsoft Office and comfort working with digital marketing platforms.
Strong organizational skills and attention to detail.
ADA Compliance:
Physical Ability: Tasks require light physical effort, including lifting/carrying up to 25 lbs. during event set-up and
tear-down.
Sensory Requirements: Must be able to perceive visual and auditory cues and communicate orally.
Environmental Factors: Work may involve occasional outdoor activities subject to weather conditions.
