What are the responsibilities and job description for the NCE Site Coordinator position at Newton Community Education?
NCE Site Coordinator
The site coordinator works closely with NCE, the school administration, parents and custodial staff to
ensure that our kids programs run smoothly. While each site has different classes offered on different
days of the week, the role is relatively consistent across the school sites.
Expectations:
The site coordinator should arrive at the main entrance area as school lets out for the day. On Monday, Tuesday, Thursday and Friday the site coordinator should be prepared to receive questions and arriving participants beginning at 2:50 pm. On Wednesday, the site coordinator begins this process at 12:20.
This means that once the school day is over you are responsible for overseeing children enrolled in our afterschool activities.
As a note, this may seem like a long time (up to 25 minutes at some sites) but for children, between gathering their materials, transitioning from their classroom, and waiting to enter the activity classroom there is very little time. So being patient and efficient is especially important.
The site coordinator should check on class rosters that live in a Google folder for their specific site. That means if you work at Peirce, you only see the Peirce rosters. These rosters are updated often so it’s beneficial to check for updates before school is dismissed for the afternoon.
We also ask that you regularly check the email you provided us with upon your hiring, as we
send emails somewhat regularly with updated information such as a class being cancelled or
scheduling a make up class.
In some schools, the site coordinator is responsible for gathering participating children in one area
and bringing them to their activity.
The site coordinator should assist with directing instructors and participants from other schools to the classroom their activity is scheduled in. The site coordinator works collaboratively with the kids program coordinator, instructors, custodial staff and sometimes the executive assistant to ensure that problems are sorted out before they become bigger problems that require involvement from administration.
This may mean asking for a room to be unlocked, reporting a spill, or assisting with bringing materials in/out.
The site coordinator should assist with ensuring that participants go with the appropriate adult or are self-dismissed at the end of the day, and contacting our office with problems that relate to pick-up. The site coordinator should check in with the instructors on site at the conclusion of class to find out if there is anything that needs to be communicated with the NCE office.
The site coordinator is responsible for completing an accurate time sheet and submitting it to our office by Thursday afternoon of each week forecasting for Friday afternoon time. The site coordinator should be familiar with emergency procedures and protocols for the school building.
