Location: Costa Mesa, California (Orange County)
Schedule: Full‑time, on‑site, includes weekends

About Us

Newport Harbor Animal Hospital is a privately owned, full‑service small animal hospital in Costa Mesa serving Orange County and surrounding communities. We employ nine veterinarians and 40 support staff, open 7 days a week with the capability to hospitalize pets overnight. In addition to routine wellness care, our practice offers unique specialty services—including theriogenology (reproductive medicine), ultrasonography, scheduled orthopedic surgery, cardiology appointments, acupuncture and same‑day urgent care. Our mission is to provide professional, state‑of‑the‑art medical care in a warm, compassionate environment.

Role Summary

We are seeking an experienced Veterinary Hospital Manager to work as part of our 3 person Hospital Manager team, to oversee the CSR and client services side of our hospital. The manager’s primary goal is to ensure the practice runs smoothly, balancing the needs of clients, patients and our veterinary team. This role requires strategic leadership in operations, human resources, finance, compliance and marketing, as well as hands‑on support for day‑to‑day issues that arise in a busy hospital setting.

Key Responsibilities

  • People & relationships: Lead and develop a team of top notch client service representatives. Duties include recruiting, onboarding, scheduling, performance management, staff meetings and conflict resolution.
  • Workflow & operations: Coordinate appointment scheduling, hospital protocols and staffing levels to optimize patient and client flow. Maintain efficient workflow and ensure that same‑day cases, overnight hospitalizations and specialty services are properly supported.
  • Financial management: Prepare and monitor budgets, oversee accounts payable/receivable, implement financial policies.
  • Training & safety: Provide tools and continuing education resources for staff; ensure adherence to safety protocols and respond to safety concerns.. Develop standard operating procedures and support staff certification and professional development.
  • Technology & record keeping: Implement and maintain practice management software, phone systems and client communication platforms. Ensure accurate medical and client records and regulatory compliance.
  • Other duties as needed: Manage any task that keeps the hospital running smoothly.

Qualifications

  • Education: minimum high school diploma
  • Experience: management experience in a veterinary or healthcare setting preferred. Strong understanding of hospital operations, HR practices, budgeting and customer service.
  • Skills: Excellent leadership, customer service and communication skills; proven ability to manage teams and resolve conflicts. Ability to multitask, prioritize and adapt in a fast‑paced environment.
  • Personal attributes: Compassion for animals and their owners; detail‑oriented; self-motivated; resourceful problem solver; committed to confidentiality and professional ethics.
