The 27th Circuit Court is seeking a highly motivated individual to fill the Deputy Court Collections Clerk position. The selected candidate will provide counter assistance to attorneys, parties, and the public regarding Circuit Court cases. This individual will be responsible for court correspondence, ensuring filings are timely and correct, entering information into the Register of Actions (ROA) via the case management system, and maintaining Circuit Court files. This individual will be responsible for investigating and monitoring court orders for collections purposes regarding fees, fines, costs, and restitution.

Examples of Duties

  • Opens and dockets any civil, domestic, or criminal cases that come before the 27th Judicial Circuit Court. Performs any and all administrative functions regarding these respective court actions.
  • Responds to inquiries at the counter as well as telephone, email, and other inquiries. Provides information on court policies, procedures, court rules and statutes. Interprets routine court orders and documents and explains case activity by directing people to the proper court, individual or agency.
  • Receives, reviews, and processes documents and determines compliance with court rules and requirements, including checking for timely filing, completeness, signatures and other necessary information. Responsible for proper dating, identification, and timestamping of all documents. Prepares true and certified copies of court documents as needed.
  • Performs a variety of account keeping activities for the court, such as calculating fees, issuing payment vouchers on bond accounts, issuing payment vouchers for court ordered payables, receiving payments, receiving payments, issuing receipts, and posting payments to appropriate accounts for restitution and other costs. Accepts and tracks all payments through the Court Credit Card program.
  • Assists the public in filing Personal Protection Orders (PPOs) and provides appropriate legal notice to the Sheriff’s Office, Dispatch, and the litigants as directed by the court rule. Interviews the requesting party to ascertain that paperwork has been appropriately completed and that there are no pending criminal cases, other active PPOs, or any other issues regarding the parties that may impact the PPO application process.
  • Conducts interviews with court patrons to determine financial ability to pay for court ordered cost of counsel, placement for juveniles and neglect/abuse wards and other reimbursements.
  • Investigates employment and liability information to determine ability to pay. Makes appropriate recommendations for and establishes payment plans.
  • Prepares documents for, monitors, and enforces on all collection activities. Initiates wage orders, orders to pay, delinquency notices, and other documents as necessary for the collection of outstanding fines and costs, fees (crime victims rights fees, etc.), and restitution.
  • Schedules show cause hearings for individuals who fail to appear for scheduled court proceedings or fail to pay court ordered payments. Responsible for bench warrant activity, related court proceedings, file preparation, and any financial show cause related paperwork.

Typical Qualifications

Education: High school graduation or its equivalent.

Experience: Two years of experience with process driven clerical functions such as data entry, filing, scanning, and scheduling. Successful candidate should have experience with customer service in person, over the phone and via email. Court experience is considered helpful but is not required as excellent clerical and customer service skills are the key requirements for this position.
