About Us
We are a well-established and rapidly growing $40 million fire sprinkler contracting company specializing in commercial and industrial construction projects. We are seeking an experienced AIA Billing Specialist to manage monthly progress billing and support our accounting and project management teams.
Position Summary
The AIA Billing Specialist is responsible for preparing, submitting, and tracking all AIA G702/G703 progress billings, change order billings, lien waivers, and compliance documents. This role is critical to maintaining accurate financial reporting and healthy cash flow across multiple construction projects.
Key Responsibilities
• Prepare and submit monthly AIA payment applications (G702/G703).
• Review contracts for billing terms, retainage, and required documentation.
• Maintain and update schedules of values, percent-complete reporting, and stored materials.
• Coordinate billing with Project Managers to ensure accuracy and inclusion of all change orders.
• Track accounts receivable and follow up with general contractors on outstanding payments.
• Prepare conditional/unconditional lien waivers, W-9s, certified payrolls, and other compliance documents.
• Submit billing packets through portals such as Procore, Textura, GCPay, and GC-specific systems.
• Maintain organized digital records of billing, documentation, and correspondence.
Qualifications
Required:
• 3 years of AIA billing experience with a construction subcontractor.
• Strong working knowledge of AIA G702/G703, retainage, stored materials, and change orders.
• Experience working with multiple projects in a fast-paced environment.
• Proficiency in accounting or billing software (Sage)
• Proficiency with Excel and construction billing portals (Procore, Textura, GCPay, etc.).
• Excellent accuracy, communication, and organizational skills.
Preferred:
• Experience in the fire sprinkler, mechanical, or similar trade.
• Familiarity with lien laws and construction compliance documentation.
