Duties Description

  • Responsible for all clerical functions in Albany Division Equipment Management as well as Albany Division Garage and occasionally other sections of Albany Division.
  • Must have knowledge of and follow the procurement requirements for Contracts, OGS, MWBEs, SDVOBs, and Sustainability.
  • Ensure Purchase Requisitions are completed in a timely manner and Purchase Orders and receipts are entered accurately and timely in TFP.
  • Oversee Procurement Card monthly reconciliation and data entry of over thirty plus cardholders.
  • Responsible for all tracking of vehicle inventory owned by Thruway and State Police.
  • Assist with tracking of Pool Car assignments.
  • Responsible for all data entry of Timecard entries in LAPS, Time & Attendance in Kronos System.
  • Answer phones daily, maintain, update, and correct records and files.
  • Act as a back-up and support other Office Assistant 2 positions Division-wide when needed.

Qualifications

Minimum Qualifications

  • TRANSFER QUALIFICATIONS FOR CURRENT STATE EMPLOYEES: Current New York State employee with one year or more of qualifying permanent service allocated to a Grade 07 or above and eligible for transfer under Section 70.1 of the NYS Civil Service Law.
  • GENERAL PUBLIC AND/OR NY HELPS MINIMUM QUALIFICATIONS:

One year of clerical experience.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Additional Pay Information

The salary range for this position includes all applicable annual components of pay which are:

Base Pay Range from Hiring Rate $39,737 up to Job Rate $56,710.

Recruitment & Retention Pay: $7,000.
