Required Experience:
- Exceptional customer service skills

- Working knowledge of cosmetic procedures and spa services performed at Deep Blue Med Spa & NYPSG
- Knowledge of or willingness to learn practice management and lead management software, including NexTech and My Med Leads, as well as Microsoft Office applications
- Detail-oriented with the ability to prioritize and multitask effectively
- Manage all incoming web inquiries efficiently and maintain a minimum of 3–5 touchpoints per lead
- Perform phone outreach for event invitations, RSVPs, promotions, and patient follow-up
- Assist with incoming spa calls and serve at the front desk as needed
- Represent the med spa at community and in-house events
- Collaborate with Marketing and Med Spa Director for patient engagement and initiatives
- Track, report, and reconcile lead management and revenue statistics.
- Confirm spa and cosmetic consultations, pre-op appointments, and injectable patient schedules
- Follow up with patients quoted for procedures via email and phone
- Ensure new patient online registration, including patient histories and demographics, is completed prior to appointments
- Maintain working knowledge of injectable products, current promotions, and the company website
- Manage patient recalls, reward points, coupon redemptions, billing, and payments for spa visits
- Keep a clean, organized, and well-stocked workstation
- Refer patients to appropriate services, offer promotional materials or comp cards when applicable
- Participate in all departmental meetings and scheduled training sessions
- Monitor and respond to emails throughout the day
- Review online patient appointments for accuracy and update in NexTech as needed
- Conduct outreach to surgical patients for cosmetic bookings
- Quote patients, review financial options, and collect fees as necessary
- Serve as a liaison between patients, providers, and administrative teams
- Travel to other Deep Blue Med Spa locations when required
- Collaborate with physicians to track referrals and maintain monthly reporting
Location: Garden City
Compensation: $20.00-$24.00
