Job Summary:
Provide high-volume coordination and administrative execution of Human Resources processes across a multi-site healthcare organization. This role ensures accurate onboarding, offboarding, access management, documentation, tracking, recruiting coordination, and HR program support. The HR Coordinator serves as a first point of contact for employee requests and supports consistent, timely service delivery across the HR function.
Required Experience:
- 2-5 years of experience in HR coordination, administrative operations, or similar role
- Demonstrated experience handling confidential information with accuracy and discretion
- Experience supporting onboarding, terminations, employee data management, and employee transactions
- Experience supporting recruiting coordination, resume screening, and interview scheduling
- Working knowledge of federal, state, and local employment laws
- Experience in healthcare or regulated environments preferred
- Experience with HRIS systems; UKG and ADP strongly preferred
Key Responsibilities:
Onboarding, Offboarding & Access
- Coordinate all onboarding logistics including offer paperwork processing, I-9 completion, HRIS entry, and onboarding checklists
- Schedule orientations and ensure completion of required onboarding documentation
- Manage system access requests, badge issuance, and access tracking
- Coordinate offboarding activities including access deactivation and documentation collection
- Process voluntary and involuntary termination paperwork and system updates as directed
Recruiting & Hiring Support
- Support recruiting efforts by posting roles, monitoring applicant flow, and maintaining candidate records in the recruiting platform/HRIS
- Conduct resume screening and coordinate initial candidate outreach
- Complete initial phone screens using approved screening questions and evaluation criteria
- Coordinate interview scheduling across hiring managers, candidates, and multi-site teams
- Support candidate communications including confirmations, follow-up, and next steps
- Assist with offer process execution and onboarding handoff to ensure a smooth candidate-to-employee transition
HRIS, Records & Compliance Tracking
- Maintain accurate employee personnel files, credentialing records, and training documentation
- Perform HRIS data entry, audits, and routine reporting to ensure data integrity
- Track compliance requirements, license expirations, training deadlines, and audit materials
- Support internal and external audits through document preparation and tracking
Leaves, Benefits & Employee Transactions
- Track leaves of absence and maintain required documentation
- Process benefit enrollments, changes, and QLE documentation
- Support open enrollment logistics, communications distribution, and follow-up tracking
- Respond to employee transactional HR inquiries and route appropriately
Shadows, Rotations & Engagement Support
- Coordinate shadowing and rotation scheduling, documentation collection, and tracking
- Maintain shadow and rotation records and approval documentation
- Support employee engagement initiatives, surveys, and HR-sponsored events
- Track participation and provide logistical support for engagement activities
Employee Support & Team Coordination
- Serve as the first point of contact for employee questions and requests in person, by phone, and through the HR inbox
- Provide timely assistance with HR transactions, documentation needs, and process guidance within established workflows
- Track and follow up on employee requests to ensure responsiveness and completion
- Prepare correspondence, reports, and documentation as needed
- Support HR projects, process improvements, and department initiatives
Education Requirement:
- Bachelor’s degree required in Human Resources, Business Administration, Healthcare Administration, or a related field
Location:
999 Franklin Avenue, Garden City, NY 11530 (On site, 5 days per week Monday-Friday)
Compensation: $25-27/hour
