Job Summary

We are seeking a detail-oriented and organized Logistics & Inventory Coordinator to support the daily coordination of Durable Medical Equipment (DME) and respiratory equipment and supplies.

This role is responsible for coordinating deliveries, pickups, exchanges, equipment transfers, driver schedules, and inventory activities. The coordinator will work closely with warehouse staff, drivers, respiratory staff, DME teams, and other departments to ensure patients receive the correct equipment and supplies on time.

Because this position supports respiratory services, the ability to recognize and appropriately prioritize urgent oxygen and respiratory equipment needs is essential.

Key ResponsibilitiesLogistics & Dispatch

  • Coordinate and schedule DME and respiratory equipment deliveries, pickups, exchanges, and transfers.
  • Organize driver schedules and routes based on patient location, urgency, equipment availability, and delivery timeframes.
  • Prioritize urgent respiratory and oxygen equipment needs.
  • Communicate with patients and/or caregivers regarding deliveries and pickups when necessary.
  • Provide drivers with accurate schedules, equipment requirements, paperwork, and special instructions.
  • Monitor deliveries and pickups and promptly address delays, cancellations, unsuccessful deliveries, and scheduling changes.
  • Coordinate same-day and urgent deliveries when needed.
  • Maintain and follow up on outstanding pickup and delivery requests.
  • Coordinate equipment transfers between company locations.
  • Identify potential issues that could prevent a successful delivery and communicate them before dispatch.

DME & Respiratory Equipment

  • Coordinate delivery, pickup, exchange, and replacement of respiratory equipment and supplies.
  • Assist with oxygen-related deliveries and other time-sensitive respiratory equipment needs.
  • Coordinate with respiratory staff regarding patient and equipment requirements.
  • Verify that equipment being dispatched matches the patient's order.
  • Track equipment assigned to patients and equipment returned to the company.
  • Escalate equipment shortages or other issues that could affect patient access to medically necessary equipment.

Inventory Management

  • Maintain accurate inventory records for DME, respiratory equipment, supplies, and accessories.
  • Monitor inventory levels and identify items requiring replenishment.
  • Perform routine physical inventory counts and reconcile discrepancies.
  • Research inventory discrepancies and escalate unresolved issues to management.
  • Receive and verify incoming equipment and supplies against purchase orders, packing slips, or invoices when applicable.
  • Enter received inventory accurately into the inventory management system.
  • Monitor low-stock, overstocked, backordered, damaged, and unused items.
  • Assist with maintaining appropriate minimum and maximum inventory levels.
  • Track serialized equipment and ensure serial numbers are accurately documented.
  • Document inventory transfers between locations.
  • Maintain an organized warehouse and inventory area.
  • Ensure returned equipment is properly routed for cleaning, inspection, repair, quarantine, return to inventory, or disposal.
  • Identify equipment that should not be returned to active inventory due to damage, contamination, or condition.
  • Participate in inventory audits and assist with resolving discrepancies.
  • Help prevent equipment shortages, unnecessary purchasing, duplicate orders, and unaccounted-for inventory.

Documentation & Systems

  • Maintain accurate records of patient communication, delivery status, pickup status, equipment movement, and inventory activity.
  • Review orders for delivery and pickup instructions and follow up on missing or unclear information.
  • Track required delivery and pickup documentation.
  • Follow up on missing signatures, delivery documentation, pickup tickets, and other required paperwork.
  • Maintain accurate equipment and inventory information in the DME management system.
  • Identify discrepancies between orders, purchase orders, inventory records, and equipment received or delivered.
  • Escalate documentation, inventory, or order issues that may affect order completion or billing.
  • Use Brightree or similar DME/healthcare software to support daily operations.

Qualifications

  • High school diploma or equivalent required.
  • Previous experience in logistics, dispatch, inventory management, warehouse operations, DME, respiratory, healthcare, or medical equipment preferred.
  • Previous inventory management experience strongly preferred.
  • DME and/or respiratory industry experience is highly desirable.
  • Experience coordinating drivers, deliveries, or field-service personnel is a plus.
  • Experience with Brightree or similar DME software is preferred.
  • Strong computer skills, including Microsoft Outlook, Teams, and Excel.
  • Strong organizational and time-management skills.
  • Excellent attention to detail, especially when handling inventory quantities, serial numbers, orders, and equipment records.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to appropriately respond to urgent patient and respiratory equipment needs.
  • Strong written and verbal communication skills.
  • Ability to work independently and coordinate effectively with multiple departments.
  • Ability to maintain patient confidentiality and comply with HIPAA requirements.

Physical Requirements

  • Ability to work in both an office and warehouse environment.
  • Ability to sit and work at a computer for extended periods.
  • Ability to communicate frequently by telephone, email, and internal messaging systems.
  • Ability to inspect, count, organize, and identify DME and respiratory equipment and supplies.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.

Pay: $21.00 - $24.00 per hour

Expected hours: 40.0 per week
