Immediate Hire of Administrative Assistant, full-time position.
We are a mental health clinic that provides psychiatric, psychological, and psychotherapy services.

Job Summary:
Review scheduled Intakes and Follow-Up appointments on Clinician calendars
Review completed packets for compliance for scheduled patients for complete documentation and consent prior to scheduled visits
Answers all inquiries and explains all the various services offered.
Takes and enters all information, including contact and insurance information into the system
Track referral sources of new patients and maintain log for reporting.
Manages scheduling of new and follow-up appointments for clinical providers.
Verifies patients’ insurance to obtain coverage benefits
Obtain initial pre-authorization and concurrent authorizations from insurance for patients in treatment, enter into the system to ensure no gaps in coverage.
Contact patient or guarantor and advise of financial responsibility: deductible, copays, co-insurance or other insurance payment responsibilities including out-of-network insurance options.
Manage and update patients’ general information and medical insurance changes in the electronic system
Coordinate and enter information for requests for patients’ records and other documents requests. Forwards to the appropriate provider with the records request for completion.
Manage pharmacy and insurance medication authorization and refills
Manages email and mail traffic, distributes accordingly.
Scans, uploads, copies, and prints various documents.
Maintains the front desk, reception, and waiting areas.
Manages multi-line phone calls.
Performs varied administrative and front desk duties for a medical office.
Creates and applies charges from the daily copay sheet and reconcile into the electronic system
Job Qualifications:
Education: Associate's degree or Bachelor Degree
Experience: 2-5 years of related experience in the medical setting is required.
Psychiatric/Mental Health experience is a plus.
Skills:
Service orientation – pleasant, congenial, well-mannered, professional
Excellent written and verbal communication
Knowledge of MS Office Word and Excel, Google Docs and Gmail
Phones and All-in-One printers/scanners
Working knowledge of administrative and medical office procedures
Working knowledge with insurances
High organizational skills and multitasking skills
Sales experience is a plus
Strong problem-solving skills
Bi-lingual is a plus
