Duties
- Manage complex calendars, schedule appointments, and coordinate meetings with precision and efficiency
- Handle incoming calls using multi-line phone systems, practicing professional phone etiquette and providing excellent customer service
- Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy
- Maintain organized filing systems, data entry records, and manage document flow using Google Workspace and Microsoft Office tools
- Assist with office management tasks such as supply ordering, mail distribution, and maintaining a tidy front desk area
- Support bookkeeping activities including basic QuickBooks data entry and tracking expenses or invoices
- Provide personal assistant support to executives as needed, including travel arrangements and calendar management
Qualifications
- Proven experience in an administrative or office management role with strong clerical skills
- Exceptional computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
- Demonstrated organizational skills with the ability to prioritize tasks effectively in a busy environment
- Excellent communication skills, including phone etiquette and bilingual capabilities (preferred but not required)
- Experience with office equipment such as multi-line phone systems, fax machines, and printers
- Strong typing speed with attention to detail for proofreading and document accuracy
- Previous experience as a receptionist or medical/dental receptionist is advantageous
- Personal assistant experience or background supporting executives is highly valued
- Knowledge of office procedures such as filing systems, calendar management, customer support, and time management techniques
