GENERAL SUMMARY:
Under the direct supervision of the Chief Executive Officer this position provides administrative and secretarial support for the Behavioral Health Director and Behavioral Health team. In addition to typing, filing, and scheduling, perform duties such as coordination of meetings, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembly of highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
ESSENTIAL FUNCTIONS:
- Responsible for greeting and receiving clients and the public upon their entrance into the program.
- Responsible for handling inquiries regarding programming, services, and staff scheduling.
- Responsible for scheduling counselor's appointments.
- Provide information concerning available services.
- Responsible for all formally written (typed) communications and documentation for all staff as requested.
- Responsible for participating in the total Quality Improvement Program Plan as outlined in the plan and as directed by the Treatment Director.
- Responsible for filing all information in client files according to standard format, all file maintenance.
- Responsible for issuing pre-numbered receipts for payment received during the normal course of business.
- Responsible for intake information on clients and checking in clients daily for treatment services.
- Responsible for filling in at agency front desk as needed.
SKILLS, KNOWLEDGE, and ABILITIES:
1. Ability to establish priorities and meet deadlines.
2. Ability to obtain and maintain a driver’s license, automobile, and current valid insurance to travel to designated locations.
3. Knowledge of Agency’s policies, practices, and procedures.
4. Ability to establish and maintain effective working relationships with staff, management, and various other business and community contacts.
5. Ability to work with confidential information.
6. Ability to work in a team-based environment.
7. Ability to adapt to the organization’s changing needs.
8. Must have demonstrable knowledge of general office management, communication, organization, coordination of paper flow, and client documentation.
9. Must have demonstrable skills in typing, transcription, telephone communications, and abilities. Staff flexibility and adeptness at meeting unexpected deadlines and requirements.

QUALIFICATIONS:
One year diploma or certificate in a higher education program focusing on office skills area, secretarial abilities, and/or clerical functions. High School Diploma or its equivalent. Knowledge/experience in secretarial/clerical skills with no less than one year work experience. Associates Degree in office management or related field preferred.
