Job Overview

The HR & Talent Acquisition Coordinator supports both HR operations and the full hiring process at New Millennium Academy (NMA). This role manages employee records, assists with onboarding, and provides responsive HR support while coordinating job postings, candidate communication, and interview logistics. The position ensures smooth, efficient processes that strengthen the employee experience and helps NMA attract and retain high-quality talent. This position will collaborate with NMA’s HR Generalist to build out a strategic HR department that supports staff engagement and experience.

 

Key Responsibilities:

General HR Operations

  • Support the daily operations of the HR department, including recruitment, onboarding, hiring coordination and employee records management
  • Maintain accurate and confidential employee files in compliance with state and federal requirements
  • Assist with HR data entry, reporting and maintaining NMA's HRIS systems (K-Pay & Skyward)
  • Enroll and update employee information for employee participation in NMA's benefits package and MN 457 retirement plan (MN Defined Contribution Plan)

Employee Relations & Support

  • Serve as a first point of contact for staff inquiries regarding HR policies, benefits, and procedures.
  • Assist with scheduling and documenting employee meetings, including performance conversations and investigations.
  • Support workplace accommodations by coordinating documentation and scheduling follow-up meetings in collaboration with NMA's HR Generalist.

Recruitment Coordination

  • Support the full-cycle recruitment process by scheduling interviews, coordinating communication with candidates, and maintaining applicant records.

  • Manage job postings across multiple platforms (school website, job boards, university career centers, etc.) and proactively refresh listings to maintain visibility.

  • Track applicant progress in the Applicant Tracking System (ATS) and ensure timely updates for all candidates.

  • Assist with pre-screening applicants and conducting reference checks as needed.

  • Coordinate the offer letter process, ensuring all necessary documentation is prepared accurately and sent to candidates in a timely manner.

 

Candidate Experience

  • Serve as the primary point of contact for applicants, ensuring a professional, welcoming, and responsive candidate experience.

  • Provide clear communication and timely follow-ups throughout the interview and hiring process, serving as an ambassador for the school.

  • Coordinate interview logistics, including candidate travel arrangements, virtual meetings, and panel interviews.

  • Educate candidates on NMA’s standards-based education complemented by a Hmong secondary language curriculum, ensuring candidates understand the school's core programs and commitment to cultural responsiveness.

 

Administrative, Compliance & Data Management

  • Maintain accurate and up-to-date recruitment data and reports in the ATS,  including candidate demographics and Hiring Flow metrics.

  • Support compliance with federal, state, and local hiring regulations, including executing essential pre-employment requirements such as background checks, fingerprinting, and credential verification processes. 

  • Assist in preparing recruitment analytics, hiring dashboards, and diversity reports for leadership review.

  • Manage the digital and physical organization of all personnel and recruitment files with strict attention to confidentiality.

 

Outreach, Branding & Community Engagement

  • Support recruitment marketing efforts, such as social media posts, career fair materials, and email campaigns.

  • Coordinate logistics for local and national job fairs, recruiting events, and campus visits.

  • Build and maintain strategic relationships with teacher preparation programs and local community partners.

  • Actively promote New Millennium Academy's mission as a unique employer of choice.

 

HR Projects & Administrative Support

  • Support annual HR initiatives such as contract renewals, handbook updates, and school-year preparations.
  • Maintain HR workflows, calendars, and communication templates.
  • Assist with staff engagement activities and HR-related events.
