POSITION SUMMARY:

The Medical Assistant Supervisor is responsible for the day-to-day leadership, performance, and development of Medical Assistants. This role provides direct supervision and ensures consistent staffing coverage, effective workflows, and high-quality clinical support for providers and patients. Reporting to the Director of Clinic Operations, the Medical Assistant Supervisor plays a critical role in maintaining efficient clinic operations and supporting a positive patient experience.
 

ESSENTIAL RESPONSIBILITIES:

  • Leadership and Management
    • Provide direct supervision, coaching, and performance management for assigned Medical Assistants.
    • Conduct regular check-ins, performance evaluations, and corrective actions as needed.
    • Support employee engagement, accountability, and professional development.
    • Assist with hiring, onboarding, and training. Complete administrative tasks such as timesheet management and time off management.
  • Staffing and Coverage
    • Ensure appropriate staffing coverage for daily clinic operations, including managing callouts, schedule adjustments, and cross-coverage.
    • Coordinate with other Medical Assistant Supervisors to balance staffing needs across clinics or provider teams.
    • Monitor productivity and workload distribution to ensure equitable assignments and optimal clinic support.
  • Training
    • Ensure Medical Assistants are trained, competent, and compliant with required clinical skills, workflows, and organizational standards.
    • Support ongoing education, skill development, and cross-training initiatives.
    • Reinforce standardized processes and best practices across provider teams.
  • Workflow and Clinic Support
    • Oversee day-to-day Medical Assistant workflows to support efficient clinic flow and provider productivity.
    • Identify workflow challenges, bottlenecks, or inefficiencies and implement improvements in collaboration with the Director of Clinic Operations.
    • Ensure consistent execution of rooming, documentation support, clinical prep, and post-visit processes.
    • Serve as a resource for problem-solving during clinic hours.
  • Quality, Compliance, and Safety
    • Ensure adherence to clinical policies, procedures, and safety standards.
    • Support quality initiatives, audits, and performance improvement efforts as directed by the Director of Clinic Operations.
  • Communication and Collaboration
    • Serve as a liaison between Medical Assistants, providers, and leadership.
    • Escalate operational, staffing, or performance concerns as appropriate.
    • Participate in leadership meetings, training sessions, and improvement initiatives.
  • Maintain compliance with federal, state, and local employment laws and regulations and adhere to company policies as described in the employment handbook and company work rules.
  • Regular and reliable attendance.
  • Other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Strong understanding of Medical Assistant scope of practice and clinical workflows.
  • Knowledge of orthopaedic practices, procedures, and terminology.
  • Familiarity with MIPS requirements, clinic operations, patient flow, and provider support models.
  • Understanding of regulatory and compliance standards in outpatient clinical settings.
  • Excellent leadership and supervisory skills, including coaching, performance management, and team development.
  • High-level communication skills with the ability to collaborate effectively with providers, staff, and patients.
  • Skilled in conflict resolution, service recovery, and de-escalation.
  • Competent in using EHR and practice management systems, with the ability to learn new technologies quickly.
  • Ability to identify issues and implement practical workflow solutions.
  • Ability to balance multiple priorities in a fast-paced clinical environment.
  • Ability to adapt staffing and workflows to changing clinic demands.
  • Ability to build trust, foster a positive culture, and hold teams accountable to performance standards.
  • Ability to maintain composure and professionalism when addressing escalated patient, provider, and staff concerns.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit for extended periods of time; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, bend, crouch or crawl; talk or hear; or smell.  The employee must occasionally lift and/or move up to 20 pounds.  Repetitive motion of upper body required for extended use of computer. Requires vision correctable to 20/20 and hearing in the normal range for face-to-face and telephone contacts.

Works in well-lit, ventilated and climate-controlled office environment with routine office equipment; some equipment has moving mechanical parts.

The noise level in the work environment is usually moderate.

This position is a safety-sensitive position. The use of marijuana is prohibited. Impairment by drugs or alcohol is also prohibited.

Qualifications:

EDUCATION AND EXPERIENCE:

Required:

  • High school diploma or equivalent.
  • 3 years of experience as a Medical Assistant in an ambulatory or specialty clinic setting.
  • Prior leadership, lead, or supervisory experience strongly preferred.
  • Strong communication, problem-solving, and leadership skills.

Preferred:

  • Certified or Registered Medical Assistant (CMA/RMA) preferred.
  • Experience in orthopaedics or specialty care.
  • Experience supporting multiple providers or high-volume clinics.
