This position is with the New Mexico Department of Health, a Bureau within The Centers for Health Protection. We are the Infectious Disease Epidemiology Bureau that oversees the reporting, surveillance, and control of reportable, notifiable diseases and conditions of public health significance.
Why does the job exist?
The purpose of this position is to support administrative support systems and to collaborate financial functions with Bureau, Division, and Department administrative staff. To include payroll reconciliations, contracts monitoring, procurement for goods/services/ and travel, journal entries, accounts receivable, accounts payable.
How does it get done?
The incumbent will provide administrative support for financial functions. Tasks include but are not limited to:
The ideal candidate has experience with the SHARE Financial system, Accounts Payable & Purchasing experience, Travel processing for encumbrance and recoupment, running reports, reconciling and reviewing financial data. Contracts and encumbrance monitoring to ensure deliverables/goods/services are received and funding is sufficient. Critical thinking, Problem solving, excellent written and verbal skills. The ability to work independently and as a team. Highly organized and adept to multi-tasking.
Minimum Qualification
High School diploma or Equivalency and two (2) years of experience in office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment Requirements
Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within six (6) months of date of hire as a condition of continued employment.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT), extensive personal computer and telephone usage with extending periods of sitting and lifting up to 25 lbs.

- Prepare, process and submit payment vouchers for reimbursement of goods and services, and resolve invoice discrepancies.
- Prepare payment forms for contractual payments and track balances of Purchase documents to ensure budget sufficiency throughout the fiscal year.
- Review and process travel and training requests for In-state and Out-of-state bureau travel.
- Maintain administrative files and update tracking logs.
- Timesheet collection for the bureau and auditing ensuring funding is accurate.
