Patient Care Coordinator / Concierge Operations Associate

About the Practice:
New Medical is a boutique concierge primary care practice offering high-touch primary care and executive health services. This role supports both patient experience and day-to-day business operations.
Role Overview:
This position is ideal for someone who enjoys owning office operations, managing systems, and serving as a reliable in-office anchor. In addition to front desk duties, this role includes light business operations, reporting, and backup virtual administrative support.
Core Responsibilities:
--Front Desk & Patient Experience:
Greet patients and manage check-in/check-out
Coordinate appointments, including executive physicals
Collect payments and ensure accurate documentation
Maintain smooth patient flow during clinic hours
Scan and upload documents into the EMR
--Payments, Reports & Operations:
Run daily and monthly payment reports
Track collected services and charges
Support reconciliation of services as directed by physician
Assist with operational tracking and organization
--Patient Engagement & Social Media:
Assist with collecting patient reviews and surveys
Support social media posting as directed
Help with newsletters and patient communications
--Backup Virtual Admin Support:
Fill in for virtual assistant answering phones when needed
Assist with prior authorizations on a limited, backup basis (training provided)
Monitor office email and route messages appropriately
-- Office & Vendor Coordination:
Manage mail, packages, and deliveries
Coordinate vendors and reps
Assist with inventory ordering and organization
Maintain cleanliness of shared office spaces
--Events Support:
Assist with planning and executing patient, networking, or community events
Help with logistics, invitations, setup, and follow-up
--What This Role Does NOT Include
No phlebotomy or specimen handling
No medication administration
No independent clinical decision-making
Experience & Qualifications:
1 year experience in a medical office, concierge practice, or administrative role
Comfortable with payment systems and basic reporting
Organized, tech-savvy, and detail-oriented
Professional demeanor with high-expectation patients
Schedule & Pay:
20–30 hours/week
Primary hours: 9:00 am – 3:00 pm
$22–30/hour, depending on experience and scope
Job Type: Part-time
Pay: $22.00 - $30.00 per hour
Expected hours: 26 per week
