Position Summary
We are seeking a dependable and detail-oriented HCSS Coordinator to join our team. This position is responsible for accurately entering, reviewing, and maintaining field and project data within the HCSS software platform. The HCSS Coordinator plays a key role in ensuring that job information, timecards, equipment usage, and production quantities are recorded correctly and on time. The ideal candidate will be organized, consistent, and able to communicate effectively with field and office staff to keep company data accurate and up to date.
Key Responsibilities
- Review / Enter daily field data into HCSS, including labor hours, cost codes, equipment usage, materials, and production quantities.
- Review and verify incoming reports from field personnel for accuracy, completeness, and proper coding.
- Communicate with foremen, supervisors, and payroll staff to correct or clarify data entries.
- Maintain organized electronic records to ensure accuracy and compliance with company standards.
- Generate and distribute standard reports from HCSS to support payroll, job costing, and project management.
- Monitor data deadlines to ensure timecards and cost entries are submitted and approved on schedule.
- Support field and office staff with HCSS questions related to data submission and entry procedures.
- Assist in identifying recurring data issues and recommend improvements to data accuracy and consistency.
Qualifications
- High school diploma or equivalent required.
- Administrative support or construction office operations experience.
- Familiarity with HCSS software (HeavyJob, Equipment360, or related modules) strongly preferred.
- Strong computer skills, including proficiency in Microsoft Excel, Word, and Outlook.
- Excellent attention to detail and accuracy in data handling.
- Strong organizational and time management skills with the ability to meet tight deadlines.
- Clear communication skills and the ability to work effectively with both field and office teams.
