Job Description
The Part-Time Administrative Support Assistant plays a key role in creating a welcoming and professional environment during evening hours. This position provides direct support to the Office Manager and ensures smooth operations by assisting with client check-ins, clerical tasks, facility upkeep, and communication needs. This role is for someone who enjoys helping others, is detail-oriented, and thrives in a calm, client-facing setting.The ideal candidate will be a friendly and professional team-player that supports the culture and values of NLCC.
Essential Duties and Responsibilities
- Manage phone lines with excellent phone etiquette, a clear speaking voice, and a respectful attitude
- Be the initial point of contact for visitors and clients
- Conduct client reminder phone calls and/or manage automated reminders
- Data entry
- Assist with bulk mailings
- Monitor room assignments for evening therapists
- Scan and organize all staff receipts for bookkeeping/accounting
- Place supply orders, monitor inventory, maintain storage spaces
- Handle light evening reset: tidy shared spaces, water plants, take out trash
- Must understand and adhere to the rules of confidentiality and HIPPA
- All other duties as requested by Supervisor
Required Qualifications
- Must have a High School Diploma or equivalent
- Warm, professional communication style
- Strong organizational and multitasking skills
- Excellent phone etiquette
- Comfort working independently during evening hours
- Basic computer proficiency (email, scheduling tools, data entry) and knowledge of Google Workspace
- Reliable, punctual, and strong attention to detail
- This position requires excellent communications skills, strong organizational skills, positive rapport with clients, and professional demeanor
- Ability to exercise independent judgment and demonstrate initiative to meet the office's needs
- Ability to work effectively in collaboration with diverse groups of people
Preferred Qualifications
- Experience in customer service, administrative work, or mental health settings
- Familiarity with scheduling software, EHRs, or nonprofit environments
- Bilingual (Spanish/English) preferred
- Prior HIPAA Knowledge Preferred
Schedule & Compensation
- Approximately 12-15 hours per week
- 3–4 weekday evenings, typically between 4:00–8:00 PM (flexible within need)
- On-site position at our Lincoln University, PA office
Job Type: Part-time
Pay: $18.00 per hour
Expected hours: 12 – 15 per week
