We are seeking an organized, detail-oriented Surgical Coordinator to join our multi-specialty surgical practice. The Surgical Coordinator will be responsible for coordinating surgical cases from scheduling through completion, ensuring smooth communication between patients, physicians, operating room staff, facilities, and insurance teams.
The ideal candidate has strong organizational skills, excellent communication abilities, and experience in a healthcare setting with knowledge of surgical scheduling, patient coordination, and medical office operations.
Duties & Responsibilities
- Coordinate and schedule surgical procedures across multiple specialties.
- Manage operating room schedules and ensure accurate case information is entered and maintained.
- Communicate with surgeons, physician offices, anesthesia providers, operating room staff, and facility teams regarding upcoming cases.
- Contact patients regarding surgical dates, instructions, appointments, and required documentation.
- Verify and collect necessary patient information prior to scheduled procedures.
- Coordinate pre-operative requirements, including medical clearances, testing, and required documentation.
- Assist with insurance authorization tracking and communicate with appropriate departments regarding case status.
- Maintain accurate surgical schedules and update changes, cancellations, and rescheduled procedures.
- Prepare and organize surgical case information, reports, and supporting documentation.
- Answer patient questions professionally and provide guidance regarding the surgical process.
- Serve as a liaison between patients, physicians, and internal departments to ensure a positive patient experience.
- Track outstanding items needed prior to surgery and follow up with appropriate parties.
- Maintain compliance with HIPAA regulations and protect confidential patient information.
- Assist with administrative tasks and special projects as needed.
Qualifications
- Minimum 2–3 years of experience in a medical office, surgical scheduling, ambulatory surgery center, or hospital setting preferred.
- Experience coordinating surgical cases or operating room schedules strongly preferred.
- Strong organizational skills with the ability to manage multiple cases and priorities.
- Excellent communication and customer service skills.
- Ability to work independently and collaborate effectively with physicians and healthcare teams.
- Strong attention to detail and accuracy.
- Proficiency with electronic medical records (EMR) systems and Microsoft Office.
- Ability to handle confidential patient information with professionalism and discretion.
Preferred Experience
- Multi-specialty surgical practice experience.
- Knowledge of surgical workflows, pre-operative requirements, and insurance processes.
- Experience working with physicians, anesthesia teams, and operating room scheduling.
Schedule: Full-time, Monday–Friday, Some Saturdays if needed
Pay: $25.00 - $30.00 per hour
