NHF is seeking a detail-oriented and proactive Paralegal/Contracts Manager to join our Legal Department. This key position will support various business functions, ensuring legal compliance, contract management, and documentation across operational, financial, and safety processes. The ideal candidate will have a solid understanding of legal processes, contract oversight, and insurance compliance, thriving in a collaborative environment.
The Paralegal/Contracts Manager will be responsible for managing project-specific compliance, overseeing subcontractor insurance requirements, reviewing and preparing legal agreements, and ensuring proper documentation management. The role will also support internal processes, such as compliance with client and regulatory mandates, assisting with contract execution, and maintaining accurate records.
Key Responsibilities
- Review, track, and maintain legal agreements, including NDAs and contracts with vendors and consultants.
- Review, track, and maintain insurance documentation, including OCIP/CCIP reporting.
- Complete prequalification and bid forms in coordination with the Sales team to support project pursuits and customer onboarding.
- Coordinate lien waiver packages and other compliance-related submissions to support financial processes.
- Maintain business licenses and registrations in all operating jurisdictions.
- Assist with reporting and compliance for client-driven programs, including diversity and economic inclusion initiatives.
- Conduct pre-contract checks to confirm adherence to internal approval processes.
- Support documentation and administrative tasks related to safety and regulatory requirements.
- Collaborate with project teams to monitor contract status and exposure to risks, ensuring proper documentation.
- Maintain legal logs and records for internal tracking and reporting.
- Support project closeout processes by compiling necessary documentation packages.
- Participate in process improvement efforts to streamline legal and compliance operations.
Qualifications:
- Associate or bachelor’s degree in a related field; paralegal certificate preferred.
- 1–3 years of experience in a legal, compliance, or contracts-related role.
- Understanding of contract law, compliance practices, and risk management.
- Clear written and verbal communication skills.
- Ability to work collaboratively across departments and manage multiple priorities.
- Discretion in handling sensitive and confidential information.
- Experience in construction or manufacturing legal documentation is a plus.
Physical Requirements:
- Occasional travel may be required.
- Ability to work at a computer for extended periods.
- Ability to stand or move as needed during meetings or document handling.
