About Us
We are an exciting, brand-new healthcare business dedicated to providing excellent care to the Alexandria community. As a startup, we are building our foundation from the ground up. We are looking for an energetic, adaptable, and highly organized professional to be our very first hire. If you thrive in a dynamic environment, love helping people, and want to learn how a medical practice operates from the inside out, we want to meet you!
Position Overview
In this role, you will wear many hats. You will be the face of our clinic, handling everything from patient reception to daily administrative tasks. As our first employee, you will work closely alongside the owner to manage day-to-day operations and help us grow until we can expand our team.
Key Responsibilities
- Patient Experience: Welcome patients, assist with patient care, answer phone calls, manage the clinic schedule, and respond to email inquiries.
- Administrative Support: Organize physical and digital files, manage incoming mail, and order office supplies.
- Basic Billing & Intake: Assist patients with check-in paperwork, verify basic insurance details, and collect co-pays or payments.
- Clinic Upkeep: Maintain a clean, organized, and welcoming front desk and waiting area.
- Growth Assistance: Help with basic local marketing tasks (e.g., distributing flyers or updating social media) and solve everyday startup problems alongside the owner.
Qualifications & Skills
- Experience: Minimum 1–2 years of experience in customer service, retail, hospitality, or office administration. (Prior medical office experience is a plus, but not required—we will train the right person!)
- Tech-Savvy: Comfortable learning new software, using digital calendars, and handling basic spreadsheet tracking.
- Communication: Exceptional verbal and written communication skills with a warm, empathetic phone manner.
- Mindset: A positive "no task is too small" attitude. You must be comfortable with ambiguity, self-motivated, and highly organized.
- Compliance: Ability to strictly maintain patient confidentiality and follow HIPAA guidelines (training provided).
