Position Title: Fulfillment Associate
Department: Fulfillment/Deliveries
Reports To: Fulfillment Supervisor/Processing Manager
Job Overview:
The Fulfillment Department is responsible for managing the end-to-end process of fulfilling customer orders. This includes inventory management, picking, packing, shipping, and coordinating delivery schedules to ensure timely and accurate order fulfillment. This role involves working closely with different departments to ensure smooth operations and a seamless customer experience.
Key Responsibilities:
- Order Fulfillment:
- Process customer orders and ensure timely picking, packing, and dispatching of items.
- Ensure that all orders are accurately processed, with correct quantities, items, and packaging.
- Monitor inventory levels to ensure products are available for order fulfillment and report discrepancies or shortages.
- Inventory Management:
- Maintain accurate inventory records and ensure proper stock levels.
- Coordinate with the Production teams to ensure efficient use of storage space and inventory flow.
- Track damaged, non-compliant, or expired inventory and take appropriate action.
- Shipping Coordination:
- Prepare shipping manifests and invoices for orders.
- Track shipments and provide updates to customers regarding delivery status.
- Delivery Schedule Management:
- Work with sales teams to create and maintain accurate delivery schedules.
- Coordinate delivery dates, routes, and lead times to ensure customer satisfaction.
- Resolve any delivery delays, shipping errors, or issues that may arise and communicate these to customers promptly.
- Customer Communication:
- Address customer inquiries about order status, shipping times, and delivery issues.
- Resolve complaints or issues related to fulfillment or delivery in a professional and timely manner.
- Communicate effectively with customers about order updates and any potential delays.
- Process Improvement:
- Continuously assess and suggest improvements to fulfillment processes and delivery schedules to improve efficiency.
- Work with cross-functional teams (e.g., sales, operations, customer service) to identify bottlenecks or inefficiencies.
- Implement best practices for inventory management and shipping logistics to improve overall operational performance.
- Compliance and Documentation:
- Ensure that all shipping, fulfillment, and inventory procedures comply with company policies, industry regulations, and safety standards.
- Maintain proper documentation for all orders, shipping details, and delivery schedules.
- Collaboration:
- Work closely with other departments such as customer service, sales, and production teams to ensure smooth order fulfillment.
Qualifications:
- Education: High School Diploma or equivalent
- Experience:
- Experience in order fulfillment, logistics, or a related field is a plus, but not a requirement/
- Experience with METRC and DUTCHIE systems is a plus.
- Skills:
- Strong organizational skills and attention to detail.
- Excellent communication and customer service skills.
- Ability to work under pressure and meet deadlines.
- Proficient in Microsoft Office Suite (Excel, Word, etc.); knowledge of fulfillment software is a plus.
- Problem-solving skills and ability to think quickly to resolve issues.
- Ability to work independently as well as in a team.

Work Environment:
- Fulfillment/Delivery Environment: Depending on the daily orders coming in, the role may involve working in the Finished Goods Vault or in Cultivation Packaging.
- Physical Requirements: The role requires the ability to lift totes up to 50lbs, fill in as a rider on long delivery days as coverage is needed.
- Work Hours: Hours may vary depending on the amount of orders taking place each day, but will most likely be M-F, some weekends from time to time and potential overtime if needed.
