Position Summary
The CMA/Clerical Support Staff plays a vital role in supporting clinical operations. This position ensures smooth front-office functioning, assists with patient care, and promote awareness of New Era Therapeutic Counseling Center’s mission and services.
Essential Duties and Responsibilities
Clinical Support (CMA Duties):
- Conduct patient intake, including vital signs and medical history
- Assist providers during psychiatric evaluations and procedures
- Prepare lab specimens and manage documentation
- Educate patients on medications, treatment plans, and follow-up care
- Understanding of medical terminology
- Monitor patient behavior and report concerns to clinical staff
- Maintain accurate and confidential health records in EHR
Clerical and Administrative Duties:
- Serve as first point of contact for visitors and callers
- Proficiency in medical record systems and basic computer applications, such as Microsoft Office and Google Suite.
- Schedule appointments and coordinate referrals within 72 hours of initial contact
- Organize and maintain client files according to state standards
- Prepare correspondence, outgoing mail, and marketing materials
- Manage office supply inventory
- Facilitate client admissions and ensure billing accuracy
- Maintain reception area and ensure a welcoming environment
- Prepare monthly newsletters
- Educate clients on insurance coverage and billing processes
- Coordinate staff meetings and assist with training and orientation
Safety and Compliance:
- Act as Safety Officer, ensuring adherence to safety protocols
- Organize regular safety meetings and emergency preparedness drills
- Monitor compliance documentation and assist with chart audits
Qualifications
- High School diploma required; AS or BA/BS preferred
- Active CMA certification from an accredited program
- BCLS - Basic Life Support issued by American Heart Association (AHA) or American Red Cross (ARC) or American Safety and Health Institute (ASHI)
- Minimum 1 year experience in behavioral health or outpatient care
- Experience in customer service, sales, or healthcare outreach preferred
- Critical thinking skills for analyzing and resolving clinical and administrative challenges.
- Strong interpersonal, communication, and organizational skills
- Demonstrated time management and organizational abilities in a fast-paced environment.
- Proficiency in EHR systems, Microsoft Office, and data entry
- Ability to work independently and collaboratively with diverse populations
- Ability to read and interpret documents, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively and fluently.
- Valid driver’s license and reliable transportation required
- Ability to add, subtract, multiply, and divide in all units of measurement, using whole numbers, common fractions, and decimals, Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
