Role Description The Medical Office Assistant is a PART_TIME, on-site role based in Woburn, MA. This role supports the daily operations of the practice by greeting patients, checking them in and out, and managing patient flow in a courteous, efficient manner. Responsibilities include answering and directing phone calls, scheduling and confirming appointments, verifying insurance information, collecting co-pays, and updating patient records in the practice management system. The Medical Office Assistant also assists with preparing charts, handling referrals, managing incoming and outgoing correspondence, and coordinating with clinical staff to ensure accurate documentation. This position plays a key role in delivering a positive experience for patients by maintaining a clean, organized front office and providing clear, professional communication.
Qualifications
- Strong phone etiquette and customer service skills, with the ability to communicate clearly, professionally, and empathetically with patients and visitors.
- Proficiency in appointment scheduling and managing calendars, including confirming visits, coordinating follow-ups, and optimizing provider schedules.
- Working knowledge of medical terminology to accurately relay information, update records, and support clinical staff.
- Experience with insurance verification, including confirming coverage, collecting necessary information, and addressing basic billing or coverage questions.
- Administrative assistance skills, such as data entry, filing, document preparation, and use of electronic health record (EHR) or practice management systems.
- High school diploma or equivalent; additional training or certification as a Medical Office Assistant, Medical Administrative Assistant, Medical Assistant, Licensed Practical Nurse, or related field is preferred.
- Ability to maintain confidentiality, follow HIPAA guidelines, and handle sensitive patient information with discretion.
