The Opportunity
As our firm continues to expand, we're adding a permanent part-time Operations & Office Coordinator to support our Wellesley office. This role blends office coordination with day-to-day operational support for a busy wealth management team. This opportunity is ideal for someone who enjoys being highly organized, working in a collaborative team environment, and contributing to both office management and operational workflows within a professional services setting.
While this position involves minimal client interaction it is a hands-on role with real operational responsibility. You'll work closely with our advisors and operations staff on day-to-day workflows, data integrity, and periodic reporting — as well as supporting an active systems migration project currently underway.
Key Responsibilities
Operations Support
- Assist with CRM and portfolio accounting system data entry and upkeep
- Support internal reporting and administrative workflows
- Help ensure accuracy and consistency across operational processes
Team Support
- Provide general administrative support to advisors and operations staff
- Assist with ad hoc projects and team needs as they arise
Office Management & Logistics
- Support the daily operations of the workplace environment, ensuring a well-maintained, comfortable, and efficient space for employees and visitors.
- Maintain meeting and collaboration spaces, ensuring rooms are orderly, properly arranged, and stocked with necessary materials for team meetings.
- Manage office supplies and inventory
- Handle daily mail retrieval, sorting, and distribution
Schedule & Work Environment
- Approximately 15–18 hours per week
- Typically structured across 3–5 days during standard business hours
- Consistent weekly schedule preferred, with flexibility in daily hours
- In-office role in Wellesley (on-site parking provided)
Ideal Candidate Profile
Experience & Skills
- Prior administrative, office management, or financial services support experience preferred
- Proficiency with Microsoft Office Suite (Outlook, Excel, Word) required
- Experience with CRM or financial reporting systems is a plus
- Bachelor’s degree in Accounting, Finance, or related field preferred
