Part-Time Administrative & Office Assistant
Position Type: Part-Time (10–20 hours per week)
Location: Quincy, MA (Primarily On-Site)
Schedule: Weekend mornings (starting at 8:30 AM or 9:30 AM) and weekday evenings (after 5:00 PM)
Additional hours may be required during registration weeks, which occur every 6 weeks.
Pay Rate: $18.00–$21.00 per hour, commensurate with experience

New England Language School (NELS) provides high-quality in-person and online language education for adults and teenagers. Our mission is to provide the language skills and cultural knowledge students need to communicate effectively and achieve their personal, professional, or academic goals.

Position Overview
We are seeking a reliable, proactive, and highly organized Administrative & Office Assistant to support our school's day-to-day operations.
This varied role combines administrative support, assistance to students and teachers, reception, technology support, and general office organization. The ideal candidate is detail-oriented, comfortable with technology, friendly and professional, and eager to learn new systems. Training will be provided.
Key Responsibilities
- Welcome students, teachers, and visitors and respond to routine phone, email, and walk-in inquiries.
- Maintain a clean, organized, and welcoming office and classroom environment, including routine tidying, vacuuming, wiping desks and whiteboards, and restocking supplies.
- Prepare classrooms and help ensure classes start on time.
- Monitor email notifications of new student registrations and send students the appropriate textbook and class material information.
- Assist students with questions about classes, schedules, materials, and school procedures.
- Provide additional administrative support during registration weeks every 6 weeks.
- Review class attendance, locate Zoom cloud recordings, and email recording links to absent students.
- Maintain and update student and subscriber information in Mailchimp.
- Set up and troubleshoot basic classroom AV equipment and provide basic Zoom support for teachers and students.
- Assist with simple social media posts using Instagram and Facebook; Canva experience is a plus.
- Monitor and restock office supplies, classroom materials, and refreshments.
- Assist teachers with routine class logistics and administrative questions.
- Scan and shred documents, print/copy classroom materials, and maintain organized administrative records.
Qualifications
- High School Diploma or equivalent required; current college students are highly welcome to apply.
- At least 1 year of experience in administrative support, reception, customer service, office support, or a similar role.
- Fluent in English. Spanish, Portuguese, or Mandarin is a major plus.
- Comfortable using Microsoft Word and Excel and willing to learn new technology.
- Familiarity with Zoom, Mailchimp, QuickBooks Time, Instagram, Facebook, or Canva is a plus but not required.
- Strong written and verbal communication skills.
- Highly organized, detail-oriented, punctual, and dependable.
- Comfortable working independently during evening and weekend shifts.
- Able to work additional hours during registration weeks as needed.
