Duties Include
- Greet patients with a warm & friendly welcome
- Check patients in and out through EMR system
- Verify health benefits of patients
- Obtain insurance authorization for patients
- Schedule appointments
- Triage incoming calling
- Discuss treatment plans and present financials to patients for upcoming procedures
- Collect, process and post payments
- Post encounter
- Respond to patient calls/correspondence regarding billing questions, financial policies, etc.
- Experience in handling medical and insurance billing
- Ensure adherence to HIPAA regulations
- Other duties and projects as assigned
Responsibilities
- Manage and coordinate patient appointments efficiently, ensuring optimal scheduling for both patients and healthcare providers.
- Maintain accurate medical records and ensure all information is up-to-date in compliance with HIPAA regulations.
- Utilize medical scheduling systems such as eIVF to facilitate appointment booking and patient management.
- Handle medical billing inquiries and assist with the processing of insurance claims as needed.
- File and organize health information documents systematically for easy retrieval.
- Perform data entry tasks, including 10 key typing, to maintain accurate records within the system.
- Communicate effectively with patients, healthcare staff, and other departments to resolve scheduling conflicts or issues.
- Respond to new patient inquiries via phone, email, or web forms promptly and professionally.
- Schedule new patient consultations with appropriate providers based on availability, specialty, and patient needs.
- Ensure all necessary intake forms, insurance information, and pre-visit requirements are completed prior to the appointment.
- Communicate preparation instructions and expectations clearly to patients.
- Appointment Scheduling:
- Schedule and manage follow-up visits, monitoring appointments, procedures, and consultations.
- Coordinate provider schedules and optimize calendar flow to maximize clinic efficiency.
- Monitor appointment confirmations and cancellations; follow up as needed to reduce no-show rates.
- Communication & Collaboration:
- Serve as the first point of contact for patient scheduling-related questions.
- Collaborate with medical assistants, nurses, coordinators, and billing staff to ensure patients are scheduled appropriately and all required information is gathered.
- Alert clinical or administrative teams to urgent scheduling needs or conflicts.
- Documentation & Systems:
- Accurately input and update patient appointment information in the electronic medical record (EMR) system.
- Track scheduling metrics and trends as directed (e.g., new patient conversion rate, wait time for appointments).
What You Will Need
- Bachelor’s degree preferred or equivalent professional experience
- 1-3 years medical office experience assisting patients (Infertility/OB-GYN a plus)
- Must have medical billing experience
- Experience using an electronic medical record (EMR) system and Microsoft Office suite
- Extraordinary work ethic and ability to work both independently and as part of a team
- Excellent verbal and written communications
- Ability to work well in a very fast-paced environment while maintaining composure and an individualized, compassionate approach to patient care
- Exceptional customer service skills
- High attention to detail and superior organizational skills
**Must have experience, must thrive in fast paced environment. Fertility industry experience a plus. Medical assistant experience a plus.***

Pay: $26.00 - $27.00 per hour
