Description 

The Expanded Education division at the New England Conservatory (NEC) oversees all non-degree activities at NEC including the Preparatory School (NEC Prep), Adult Education, and Summer programs. NEC Prep consists of over 1,500 students and offers private instruction, chamber ensembles, large ensembles, seminars, and classes. Adult Education provides opportunities for adult students to continue private instruction, ensembles, and certificate programming. The Program Manager–Large Ensembles is responsible for managing all daily operations, scheduling, planning, and personnel for Large Ensembles within NEC’s Expanded Education Division, which includes the Summer Orchestra Institute and NEC Prep’s Orchestras, Wind Ensembles, and Choirs. 

Responsibilities 

  • Manage operational, logistical, personnel, and administrative support for assigned ensembles.

  • Serve as administrative liaison by responding to inquiries from students and families, faculty, staff, and prospective students; provide high-quality customer service to students and families while addressing their educational and artistic needs. 

  • Hire, train, evaluate, and lead work study ensemble managers and teaching fellows. 

  • Track student attendance: work with families, faculty, conductors, and staff to resolve and approve absence requests. Oversee student workers in managing attendance records to ensure compliance with specified attendance policies.  

  • Create and maintain accurate personnel rosters for ensembles; in conjunction with the Enrollment team, confirm that all students are appropriately registered for ensembles. 

  • Update and edit concert listings and programs on NEC website, ensuring information is accurate and timely. 

  • Hire, track, and support sectional coaches, and ensemble ringers.

  • Lead large ensemble student mentorship programs, providing opportunities for service, performance, and collaboration between student cohorts.

  • Liaise with EE Faculty and EE Enrollment staff to manage requirements and registration for Large Ensembles to follow up after placements have been distributed. Oversee set up of  the Large Ensemble auditions website; hire, train, and support adjudicators and proctors; organize the auditions review process with faculty, and notify students of  their ensemble placement. 

  • Serve as project manager for the planning of all large ensemble international and domestic tours; serve as lead staff and chaperone during the tours.

  • Serve as project manager for department large ensemble initiatives, including but not limited to symposia, festivals, ensemble runouts, and community concert series.

  • Prepare, produce, and distribute ensemble schedules, handbooks, updates, and concert memos to all students, families, sectional coaches, and ensemble directors. 

  • Track and submit ensemble-related payrolls; prepare payment vouchers for orchestra assistants, instrument ringers, and sectional coaches.  

  • Manage virtual ensemble needs including Zoom setups.

  • Enhance NEC EE social media engagement by capturing content.

  • Other duties as assigned. 

Qualifications 

  • Bachelor’s Degree required. 

  • Two to four years of relevant experience in arts management and ensemble management.

  • Strong interpersonal skills with a focus on high-level customer service. 

  • Demonstrated computer proficiency in Gmail, Google Calendar, Drive, Sheets, and Docs; as well as Word, Excel, and PowerPoint.

  • Good professional judgment, confidentiality, and attention to detail. 

  • Excellent written and verbal communication skills. 

  • Capacity to manage priorities and workflow in a fast-paced environment. 

  • Ability to work both independently and as a strong teammate. 

  • Strong orchestra or wind ensemble musical background required. 

  • Physical ability to set up and move equipment required. 

  • Availability to work a Tuesday-Saturday schedule during the academic year and a Monday-Friday schedule during the summer is mandatory. Attendance at all evening and weekend concerts is required.

Salary : $68,000 - $70,000
