As part of NEC's mission to make lifelong music education available to everyone, the Division of Expanded Education delivers training and performance opportunities for children, pre-college students, and adults.


Job Summary:


The Administrative Manager and Office Coordinator provides a range of high-level administrative support and management to the President, supporting the daily, onsite operations of the Office. Responsibilities include coordinating and monitoring the President’s workflow and calendar, preparation for meetings and events, travel arrangements, briefings and notes, and the processing of invoices and related budget tracking. The role works closely with offices across campus.


This role requires exceptional organizational skills, the ability to manage multiple projects and proactively problem solve, discretion and confidentiality, excellent judgement, and meticulous attention to detail. This is a highly proactive and results-oriented position that requires an individual to anticipate needs, remove operational roadblocks, and decisively drive the President's priorities forward.


Essential Functions:


● Provide comprehensive administrative support to the President, including: workflow management; scheduling; meeting communication, preparation, and follow-up; budget tracking; invoices and expense processing; etc. Act as a key liaison and contact for senior administration (including Executive Council and Chief Officers), trustees, faculty, and external constituents.

● Assist with key data management and reports.

● Serve as the first point of contact, professional representing the Office of the President and ensuring a welcoming environment and efficient office for all internal and external constituents.

● Closely monitor office email accounts and respond to email and phone inquiries in a timely manner, fielding requests and questions from a wide variety of internal and external constituents.

● Manage and update website content related to the Office of the President

● Assist with the planning and support of special events, conferences, and meetings as assigned.

● Perform other duties as required and assigned.


Qualifications:


1. Bachelor’s Degree required

2. 2-5 years of relevant experience, preferably in higher education,

non-profit, or arts administration.

3. Strong written and verbal communication skills.

4. Strong interpersonal and customer service skills

5. Ability to manage multiple assignments simultaneously in a well-organized fashion with a strong ability to prioritize.

6. Must be able to meet deadlines, adapt to shifting priorities and multi-task accordingly.

7. Self-motivated with a proven ability to work independently and as part of a team.

8. Ability to handle sensitive and confidential information appropriately and with discretion.

9. A professional and personable demeanor under pressure and with high-powered individuals is essential.

10. Meticulous attention to detail.

11. Proficient in Google Suite and Microsoft Office Suite. Demonstrated ability to learn new systems quickly.

12. Nights, weekends, and some travel will be required.

Salary : $75,000 - $80,000
