What are the responsibilities and job description for the Associate Director of Facilities - Maintenance & Repairs position at New England Aquarium?

The Associate Director of Facilities - Maintenance and Repairs will lead the team of tradespeople that repair and maintain the New England Aquarium's (NEAq) HVAC, lighting, electrical, and plumbing systems, as well as the carpenters and painters that maintain the structures and aesthetics of the properties. This position will work in collaboration with the Associate Director of Facilities - Property, Grounds, and Life Support (AD - PGLSS), who oversees the security, general maintenance of the grounds, and life support systems at the Aquarium. The Associate Directors collaborate and share talent and resources to ensure NEAq's commitment to safety, animal welfare, asset protection, and an exceptional visitor experience are maintained and up to code

This is a full-time regular position offering a comprehensive benefits package. The schedule will be Tuesday - Saturday, 9:00 am - 5:00 pm with some flexibility on the hours. Work must be conducted on-site. Applicants must be available for off-hours telephone consultations as needed.

ESSENTIAL FUNCTIONS

  1. Lead the day-to-day operations of the NEAq's team of licensed tradespeople.
  2. Oversee the safety and upkeep of the NEAq workshop spaces in Boston, Charlestown, and Quincy, MA.
  3. Ensure proper maintenance of department vehicles.
  4. Hold certification and lead Hazardous waste shipping and disposal efforts for the organization.
  5. Manage the maintenance and repairs for elevators and facilitate annual inspections.
  6. Ensure proper maintenance of the fire prevention systems, including our roof smoke evacuation system and fire extinguishers; Perform quarterly tests on fire doors.
  7. Responsible for the administration of the computerized maintenance management system (CMMS); Provide training to employees who use this system.
  8. Maintain and inventory equipment; ensure proper preventative maintenance is conducted, and equipment is safe to use.
  9. Play a leadership role in responding to and recovering from emergencies within the incident command system.
  10. Schedule, coordinate, and supervise the work of outside contractors to ensure compliance with contract terms.
  11. Monitor and maintain budgets, including tracking expenses and preparation of budget reports.
  12. Understand the collective bargaining agreement and comply with the requirements set forth within.
  13. Be knowledgeable about OSHA, state, AZA, and other safety standards and ensure ongoing compliance by employees and contractors on our property.

  4. Set priorities, goals, and expectations. Empower employees and helps them to overcome barriers to their success.
  5. Recognize good performance and provide ongoing constructive feedback and coaching to employees on all shifts.
  6. Collaboratively conduct annual performance appraisals with the Director.
  7. Delegate appropriately and follow through to ensure the completion of team and individual responsibilities.
  8. Promote a culture of productivity, teamwork, and collaboration across the department and broader aquarium.
  9. Maintain a high level of job satisfaction and morale amongst employees on the team.

QUALIFICATIONS

Minimum Required Training and Experience

  • A minimum of 5 years of experience in the Facilities Management field.
  • Strong project management experience and proven ability to manage multiple projects simultaneously.
  • General knowledge of HVAC, mechanical, electrical, and plumbing systems.
  • Experience maintaining, or managing the maintenance of, fire prevention systems.
  • Experience leading high-performing work teams through hands-on management, training, and coaching.
  • Demonstrated ability to build and promote a culture of productivity, teamwork, and collaboration across the department and in service to the broader organization.
  • Understanding of OSHA and other safety guidelines.

Preferred Training and Experience

  • Bachelor's degree in facilities management or other relevant field preferred.
  • Experience managing within a collective bargaining agreement.
  • Experience using a Computerized Maintenance Management System..
  • Experience in maintenance at a cultural institution hosting the public.
  • Basic understanding of construction practices and terminology.
  • Hazardous waste or RCRA certification preferred.
  • Working knowledge of sustainable business practices.
