SUMMARY OF POSITION:
Assist with overall administrative functions in the Transportation Office.
SCHEDULE: 12 Months, Mon - Fri 12:45 - 4:45 PM EST, Start Date: ASAP
BENEFITS: Paid Holidays (10 annually), Paid Sick/Personal Days, Access to Recreational Facilities
MINIMUM QUALIFICATIONS:
- High school graduate
- Proficient in basic office applications such as Microsoft Office Suite and/or Google Workspace
- Processing, spreadsheets, and data entry
- Must be organized prompt, positive
- Possess good bookkeeping skills
- Possess office machine skills
- Possess good communication skills
- Pleasant and able to deal positively with the public
- Excellent work ethic
KEY RESPONSIBILITIES AND DUTIES
- Maintain supply inventory used, needed and purchase order processing.
- Prepare, file, and manage written correspondence related to transportation requests.
- Handle all written correspondence from staff for transportation requests.
- Prepare confidential materials related to routes, student information, or staff documentation.
- Operate copying equipment, radio system, fax machine and computer as needed.
- Sort and distribute mail daily.
- Communication about drivers attendance/routes directly only with the transportation director.
- Record, track, and update transportation data as directed.
- Maintain student records, transportation data transmittals, and PowerSchool transportation fields.
- Process Add/Drop reports and coordinate changes with the Transportation Director for route maintenance.
- Support scheduling and tracking of field trips, special transport needs, and staff requests.
- Assist with obtaining substitute bus drivers as needed.
- Track and log driver attendance and route coverage; communicate this information directly and only with the Transportation Director.
- Maintain logs for mileage, fuel usage, and basic bus maintenance documentation if assigned.
- Serve as the primary point of contact for transportation office inquiries.
- Communicate professionally with parents, staff, and community members.
- Maintain calendars, appointments, and meeting schedules for the Transportation Director.
- Assist with recording and filing incident reports, discipline referrals, and parent concerns.
- Work cooperatively with the Transportation Director, school staff, and all district departments.
- Support and adhere to district rules, regulations, and policies.
- Perform additional duties as assigned by the administration.
