Position Overview:
The Administrative Assistant of The King's Table (TKT) serves as an essential member of the TKT team, providing comprehensive administrative support across all areas of operation — from daily office functions and program logistics to community distributions and special initiatives. This position sits within the Ministries & Outreach Division of New Birth Missionary Baptist Church and reports directly to the Manager of The King's Table. The ideal candidate is highly organized, mission-driven, and committed to serving with excellence and integrity. The omission of specific duties for this position does not exclude them if the work is similar or related. Other duties may be required and assigned.
Key Responsibilities:
· Office Administration & Operations - The Administrative Assistant provides broad administrative support across all TKT operations, developing and implementing systems that improve efficiency, strengthen organization, and support the overall effectiveness of the ministry. Responsibilities include managing the TKT calendar with accuracy and care — scheduling meetings, appointments, and training for staff and volunteers — as well as attending meetings to capture detailed, actionable notes. This role also manages virtual meeting platforms and coordinates room and space setup for in-person gatherings.
· Communication & Correspondence - This position serves as a communication hub for The King's Table, preparing, sending, receiving, and organizing correspondence including emails, memos, forms, and reports. The Administrative Assistant maintains accurate and up-to-date contact lists and communication records, manages incoming messages, returns calls, and makes contacts on behalf of TKT with professionalism and discretion.
· Financial & Resource Management - The Administrative Assistant provides support in managing budgets, processing invoices and payments, reconciling credit card transactions, and submitting expense reports. This role also assists with researching and managing supplier relationships, and is responsible for ordering office supplies, materials, equipment, food, and other resources as directed and approved.
· Documentation & Reporting - Maintaining thorough and organized records is central to this role. The Administrative Assistant is responsible for completing, maintaining, and organizing reports, logs, documentation, inventory records, policies, and procedures to ensure operational accuracy and accountability across all TKT functions.
· Program & Event Support - The Administrative Assistant plays an active role in supporting the planning and execution of community distributions, food and clothing drives, workshops, classes, training, and special initiatives. This includes guest coordination, hospitality logistics, and ensuring that both indoor and outdoor TKT environments remain organized, welcoming, and operationally ready.
· Volunteer & Guest Relations - This position supports volunteer recruitment and engagement efforts, maintains volunteer lists, and prepares reports on volunteer participation, guest relations, vendor activity, and resource utilization. The Administrative Assistant helps ensure that every volunteer and guest of The King's Table is received with care, clarity, and dignity.
· Cross-Departmental Collaboration -The Administrative Assistant works collaboratively with all TKT staff — including the Manager, Logistics Specialists, and Logistics Assistant
— as well as IT, Facilities, and other internal departments at New Birth.
This role also partners with colleagues across the Ministries & Outreach Division on assigned projects, helping to advance the shared mission of the church's community engagement work.
Qualifications:
Educational and Experience Requirements:
· A high school diploma or equivalent. Bachelor’s degree is preferred.
· A minimum of 1-3 years of experience in administrative assistance, office coordination or operations support.
· Experience in social service, community programs, civic outreach, government, or nonprofit organizations is a plus.

Annual Salary Range: $36K to $40K
