Nevada First Trust Company (NFTC), in close partnership with First State Trust Company (FSTC), provides high-quality fiduciary and trust services to a diverse personal and institutional client base.
We are seeking a Personal Trust Administrator to support the administration of personal trust accounts,
deliver exceptional service and assist Trust Officers in managing client relationships. This role requires a detail-oriented individual who thrives in a fast-paced, growth-focused environment and consistently demonstrates professionalism, organization, and sound judgment.
What You’ll Do
Fiduciary Administration Support
- Provide administrative support for fiduciary accounts in accordance with governing documents, regulations, and internal policies
- Assist with account setup, maintenance, and documentation, including new account onboarding and AML/KYC requirements
- Process bill payments, tax payments, distributions, and other account transactions
- Support account closings, asset transfers, and delivery of terminating account assets
- Prepare correspondence, documentation, and materials for Trust Officers and client communications
- Assist in preparing discretionary request documentation for Trust Committee review
- Handle documentation and tracking for special or complex trust assets
- Maintain accurate, organized account records and ensure proper file documentation
Client & Relationship Support
- Deliver timely, professional responses to client, beneficiary, and advisor inquiries
- Answer calls from internal and external partners and provide prompt support
- Support Trust Officers in client and beneficiary meetings as needed
- Maintain a professional and personable communication style with clients and centers of influence
- Ensure clients consistently receive exceptional service
Risk, Compliance & Operational Support
- Ensure adherence to fiduciary standards, regulatory requirements, and internal policies
- Maintain strict confidentiality of client and company information
- Monitor deadlines and proactively manage assigned responsibilities
- Support Compliance and New Business teams with documentation and account requirements
- Develop and maintain knowledge of fiduciary principles, trust administration practices, and applicable regulations
- Exercise sound judgment and discretion under the guidance of Trust Officers
Qualifications
- Relevant work experience in an administrative role. Exposure to banking and financial statements or trust administration experience preferred
- Undergraduate degree is required
- Exceptional verbal and written communications skills
- Ability to work independently and with a team is a must
- Communicate effectively, both orally and in writing, with all organizational levels
- Attend to details while maintaining a big picture orientation
- Ability to organize, prioritize and meet deadlines in a fast-paced environment
- Strong computer skills including MS Office, particularly Excel
