We are seeking a detail-oriented and highly organized individual to support a fast-paced legal-medical services practice. This role focuses on scheduling, coordination, case tracking, records management, and basic financial reconciliation. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple workflows simultaneously. The role is critical to ensuring smooth scheduling, accurate handling of medical records, and professional communication with attorneys, physicians, and staff.
Key Responsibilities
- Schedule and coordinate medical–legal services including Office visits, Surgery, IMEs, SMOs, record reviews, depositions, and calls.
- Receive, organize, and process large volumes of medical records and imaging.
- Coordinate record requests with attorneys, facilities, and vendors
- Reconcile invoices, charges, retainers, and payments against case files
- Assist with document preparation, correspondence, and file maintenance
- Update internal systems to ensure real-time case and billing accuracy
- Communicate professionally with law firms, insurance companies, case managers, medical offices, and internal staff regarding scheduling and logistics.

- Experience with Medical Office/Hospital scheduling preferred
- Strong organizational and time-management skills
- High attention to detail and accuracy
- Comfortable handling confidential information
- Proficiency with Microsoft Office products including Word and Excel
- Ability to learn internal workflows and adapt quickly in a deadline-driven environment
Preferred Skills
- Experience with medical records
- Basic understanding of billing, invoicing, or accounts reconciliation
