Requirements
Staff Support
- Serve as the primary point of contact for call center staff
- Provide guidance on scheduling protocols and practice workflows.
- Assist staff with complex scheduling situations.
- Intervene with difficult or escalated patient calls when needed.
- Support staff in resolving patient concerns in a professional and timely manner.
Scheduling & Provider Coordination
- Assist with managing provider schedule changes including:
- Schedule freezes
- Provider time off
- Clinic closures
- Coordinate patient rescheduling when provider schedules are modified.
- Ensure patients affected by schedule changes are contacted & rescheduled appropriately.
Workflow & Task Monitoring
- Monitor Athena buckets to ensure staff complete assigned daily tasks.
- Ensure incoming scheduling requests, patient messages, & referrals are addressed in a timely manner.
- Identify backlog or delays & redirect staff as needed to maintain workflow efficiency.
Staff Coaching & Support
- Provide coaching & guidance to staff regarding scheduling accuracy and patient communication.
- Reinforce department policies & scheduling guidelines.
- Identify training opportunities & communicate trends to the supervisor.
Operational Support
- Monitor call center activity
- Communicate concerns or workflow issues to the supervisor & DOO
- Support implementation of workflow improvement.
