Neurolimits is a neuroscience-led neuro wellness clinic offering services including EEG diagnostics, neurofeedback, rTMS, sleep evaluations, and psychological assessments. We are seeking an experienced Front Desk Receptionist to support daily clinic operations and serve as the primary administrative contact for clients arriving at the clinic.

This is a full-time, in-office position, Monday through Friday, 8:00 AM to 5:00 PM. Applicants must be able to commute to our Westlake Austin location and work these hours consistently.


Position Summary

The Front Desk Receptionist is responsible for managing the clinic’s front desk, checking clients in and out, handling scheduling and billing tasks, and supporting general administrative workflows. This role requires prior experience in a healthcare clinic environment, including familiarity with insurance billing processes and patient-facing administrative duties.

The ideal candidate is reliable, organized, and comfortable working in a busy medical or behavioral health office.


Key Responsibilities

Front Desk & Client Check-In

  • Greet clients and families upon arrival and manage check-in/check-out processes.
  • Maintain a professional and orderly front desk and waiting area.
  • Answer incoming phone calls and respond to general inquiries.
  • Direct clients appropriately and coordinate with clinical staff.

Scheduling & Appointment Management

  • Schedule, confirm, and manage appointments across multiple clinical services.
  • Manage provider calendars, cancellations, reschedules, and waitlists.
  • Communicate appointment instructions and reminders to clients.

Billing & Insurance Support

  • Collect copays and payments at time of service.
  • Submit insurance claims and assist with billing workflows.
  • Verify insurance eligibility and benefits when needed.
  • Assist with billing questions and route complex issues appropriately.

Administrative Support

  • Maintain accurate client records within the clinic’s EHR and scheduling systems.
  • Manage intake forms, consent documents, and required paperwork.
  • Support general administrative tasks to ensure smooth daily clinic operations.


Minimum Qualifications

  • Prior experience as a front desk receptionist in a healthcare or medical clinic.
  • Experience with medical billing and insurance submission.
  • Ability to work full-time on-site, Monday–Friday, 8:00 AM–5:00 PM.
  • Based in Austin, TX with reliable transportation.
  • Strong organizational and multitasking skills.
  • Professional communication skills with patients, families, and staff.
  • Comfort working with EHR systems, scheduling software, and billing platforms.
  • Legally authorized to work in the U.S. (no visa sponsorship available).


Preferred Qualifications

  • Experience in behavioral health, neurology, psychology, or specialty clinics.
  • Familiarity with VA and TRICARE insurance systems.
  • Experience in clinics handling both private-pay and insurance-based services.
  • High attention to detail and ability to handle sensitive information discreetly.
