Position Summary
The Administrative Assistant / Donor Database Coordinator supports the NF Network’s Executive Director and Marketing/Development team in advancing the organization’s mission through effective administrative, development, and database management support. This position plays a key role in donor relations, fundraising data management, and organizational communications.
Key Responsibilities
Development & Donor Database Management
- Acquire and maintain a high level of knowledge in Donor Perfect database management.
- Enter, update, and maintain donor, volunteer, and participant records in the organization’s database.
- Process donations, generate gift acknowledgment letters, and prepare tax receipts as necessary, in a timely manner.
- Generate reports, mailing lists, and data pulls as needed for fundraising and communications.
- Conduct system maintenance including duplicate removal, address updates, and database optimization and PCI compliance.
- Identify areas of weakness in the database and create, distribute surveys and implement data to increase the value of the database
- Pull reports from online event platforms and prepare data files for import into the donor system.
- Respond directly to donor inquiries and ensure positive donor experiences.
- Establish and maintain tracking reports for giving levels, pledge deadlines, recurring gifts, and campaign progress.
- Collaborate with staff to ensure consistent use of the database across departments.
Administrative Support
- Assist the Executive Director in preparing for meetings, including setup for in-person and virtual meetings.
- Prepare documents and presentations using Microsoft Word, Excel, and PowerPoint and various google documents.
- Process and respond to incoming emails; redirect as needed.
- Maintain office electronic and paper files
- Provide support for the NF Network Advocacy Program and other assigned projects.

Qualifications
- Two (2) years of college-level education or equivalent professional experience.
- Strong IT proficiency including Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong attention to detail with excellent organizational and prioritization skills.
- Demonstrated analytical and problem-solving ability.
- Experience with donor or CRM database management preferred (Donor Perfect experience a plus).
- Ability to work independently, team-oriented, adaptable, and able to manage multiple tasks.
Work Environment
This position is primarily remote or based in a small office environment, requiring regular computer use and virtual collaboration.
Compensation and Benefits
· Compensation: $ 48,500 annual salary
