Klaviyo Operations Manager (AI-Powered Execution, Client-Requested Changes)

Role Overview
We are hiring a Klaviyo Operations Manager to own the day-to-day execution of email and SMS for ecommerce brands. This role is highly hands-on and built for someone who lives inside Klaviyo, moves fast in Figma, and uses AI tools like Claude and Manus to ship work faster and cleaner than the average operator.
You will not be responsible for high-level strategy or sales calls. Your role is to execute cleanly, quickly, and accurately, from copy swaps and design updates to scheduling and QA, while leveraging AI every step of the way to compress timelines and increase output without dropping quality.
Key Responsibilities
Klaviyo Execution & Scheduling
* Build, update, and schedule email and SMS campaigns in Klaviyo
* Make last-minute changes to copy, images, buttons, links, and send times
* Handle flow updates, pauses, and quick fixes as needed
* Ensure all campaigns are correctly configured, tracked, and scheduled
* Use Claude to draft, refine, and stress-test copy variations on demand
Figma Design Updates
* Jump into Figma to make real-time edits including:
* Copy changes
* Image swaps
* Spacing and layout adjustments
* Mobile responsiveness fixes
* Use Manus to generate creative variations, asset mockups, and design references on the fly
* QC designs before implementation to ensure brand consistency and clean layout
* Collaborate with designers when needed, but operate independently when they are unavailable
AI-Powered Daily Operations
* Use Claude as your daily co-pilot for copywriting, QA, brief breakdowns, client communication drafts, and internal documentation
* Use Manus to handle visual production tasks, asset variations, and design support that would otherwise slow execution
* Build and maintain personal AI workflows and prompt libraries that speed up repetitive tasks
* Apply AI to subject line testing, segmentation logic checks, and pre-send audits
* Bring an AI-first mindset to every part of your workflow
Quality Control & QA
* Run full QA checks before every send:
* Mobile vs desktop layout
* Button links and tracking
* Image rendering
* Personalization tokens
* UTM parameters
* Use Claude to assist with proofreading, link audits, and copy consistency reviews
* Catch mistakes before the client or subscribers ever see them
Client-Requested Change Handling
* Receive and implement client feedback quickly and accurately
* Understand requests immediately and turn them into clean execution
* Use Claude to draft fast, professional replies and clarifying questions
* Communicate clearly when changes are completed or if clarification is needed
Required Skills & Experience
* Strong hands-on experience with Klaviyo including campaigns, flows, scheduling, and QA
* Comfortable operating independently inside Figma
* Active daily use of AI tools, specifically Claude and Manus
* Proven ability to implement fast changes without errors
* Strong attention to detail and operational discipline
* Reliable availability from 12 PM to 5 PM EST
* Experience working in an agency or multi-brand environment is a plus
Nice-to-Have
* Experience building custom AI workflows, prompt libraries, or automation systems
* Understanding of ecommerce retention email best practices
* Familiarity with basic analytics and campaign performance signals
