Job Title: Accounting Specialist

Job Description: The Accounting Specialist will support the goals and effective functioning of the Accounting teams by ensuring the timely and accurate processing of invoices, check requests, and expenses. The role also involves proactively resolving external and internal inquiries and disputes, as well as providing thorough, deadline-driven reporting and communication.

In addition to core transactional responsibilities, this position contributes to the accuracy and efficiency of financial operations through account analysis, reconciliation, and process support. The Accounting Specialist collaborates with the Accounting Supervisors and cross-functional teams to analyze accounts, resolve discrepancies, identify trends, and escalate recurring or complex issues in accordance with established policies and approval processes. Success in this role requires strong attention to detail, sound judgment, analytical thinking, and the ability to manage multiple priorities while meeting deadlines.

Key Responsibilities:

· High volume data entry, ensuring accuracy, proper coding, approvals, and policy compliance

· Prepare and process weekly check runs and electronic payments.

· Daily cash receipts, payment application, new credit and customer collections follow-up

· Union/Certified Payroll reporting and tracking

· Perform account reconciliations, investigate discrepancies, and support timely resolution.

· Respond to external and internal inquiries in a professional and timely manner.

· Maintain accurate and up-to-date records in the accounting system.

· Collaborate with accounting and other departments to resolve issues and support smooth workflow.

· Assist with month-end closing activities including reporting and documentation.

· Analyze accounting data to identify trends, recurring issues and process improvements.

· Escalate complex issues or patterns requiring additional review or approval to the AP Supervisor.

· Contribute to research, analysis, and process improvement initiatives as assigned.

· Assist with other accounting duties as needed.

Qualifications:

· Bachelor's degree, preferably in Accounting, Finance, or related field. An equivalent combination of education and experience may be considered.

· Direct experience preferred: certified payroll, union reporting, accounts payable/accounts receivable, data entry, or other accounting functions.

· Experience with complex data systems, aptitude for new and uncommon software, and proficiency with common data tools such as Excel.

· Strong ethical standards and high levels of integrity.
