Job Brief:
We are looking for a full-time Office Manager to support our neuropsychological practice. Patients, visitors, and providers will turn to you for information and with administrative issues.
Our Office Manager should be efficient, organized, and well-spoken. While prior experience in an office-setting, specifically in healthcare is preferred, it is not required. We provide foundational training in order to develop the skills and knowledge to perform well at this position. The applicant should be patient, capable of handling computer-based tasks with speed, accuracy, and efficiency. The applicant should also have developed skills and experience with managing workflows along with problem-solving skills. The goal will be to ensure the smooth workflow of our practice so that our patients and referring providers receive the best possible services.
Job Responsibilities:
1. Receive and assist patients as needed.
2. Explaining neuropsychological testing process to inquiring visitors and patients.
3. Utilize Electronic Health Record (EHR) to maintain patient charts which includes documenting phone calls, scheduling, uploading appropriate documents.
4. Manage office communications including phone, e-mail, and fax.
5. Schedule/Reschedule appointments.
6. Liaison with billing company to ensure that insurance claims and payments are processed appropriately.
7. Process and maintain office invoices, bills, and payments.
8. Ensure confidentiality and HIPPA compliance of sensitive information.
9. Transmit correspondence and medical records by mail, e-mail, or fax.
10. Proof office correspondence for typographical errors, spelling, grammar, and punctuation
11. Ensure that all neuropsychological testing supplies are stocked.
12. Ordering general and as-needed office supplies.
13. Ensuring a presentable office environment to our patients and visitors.
14. Actively engage in ongoing administrative projects assigned by supervisor
15. Provide administrative oversight and supervision to administrative assistant
16. Manage and rectify dissatisfaction with prospective, current, or past patients.
Qualifications:
1. Required: Associate’s or Bachelor’s Degree preferred.
2. Strong organizational skills (digital and paper)
3. Basic knowledge of medical and psychological terminology.
4. Basic knowledge of common office practices, procedures, and equipment.
5. Experienced in office software applications including: word processing, excel, adobe pdf.
6. Able to understand and follow oral and written directions.
7. Must be able to apply sound judgment beyond a specific set of instructions and apply knowledge to different factual situations

1. Compensation based on education background and/or relevant work experience. $21.00 - $25.00/hour
2. Full time hours: Monday-Thursday (8:30am – 5pm) and Friday (8:30am – 2:30pm)
