JOB SUMMARY:
The Client Finance Manager is the primary day-to-day contact partnering with Account Management and Integrated Production teams in overseeing all financial aspects related to a portfolio of clients. This position assists
upper finance management within their designated client finance team to ensure financial controls and policies are in place, financial tracking is accurate, and overall alignment to the individual client Master Service Agreements are followed. This individual will mentor and provide training to Analysts and Senior Analysts and be the primary day-to- day contact.
ESSENTIAL FUNCTIONS:
Financial Tracking/Reporting: Own client and product reporting needs and create detailed client-facing financial trackers that are informative and easy to view.
Internal Client Relations: Coordinate monthly billings prior to deadline of each assigned client,prepare, update, and analyze trackers weekly, and lead tracker meetings.
Budgeting, Revenue and Forecasting: Prepare month-end revenue calculation, journal entries, manager client purchase orders, and invoicing.
Administrative: Perform administrative duties and manage adhoc requests with assigned client accounts.
JOB DUTIES / RESPONSIBILITIES:

- Design, implement, and own the client- and product-specific reporting needs, and monitor all costs on a weekly basis in partnership with Client Finance Analyst
- Continuously perform rate analysis to ensure system-generated rate cards are up to date and aligned to approved client rate card, and review with Associate Directors and above on a regular basis
- Ensure client tracking of actuals versus approved budgets are tracked regularly and any issues are flagged
- Work with the Account Management teams to perfect detailed client-facing financial trackers that are informative and easy to view
- Create staff plan templates ensuring appropriate rate card is being used (client specific or new business) and price projects
- Partner with Account Management and Integrated Production team in overseeing all financial aspects related to a client’s portfolio
- Depending on client relationship and/or process, subject to participate on monthly client tracker calls to speak to any financial tracking and/or billing inquiries
- Prepare month-end revenue calculation and journal entries, working with revenue controllers as needed
- Maintain Client Service Agreement database on a monthly basis to ensure all PE and signed contracts are uploaded and accurate
- Analyze monthly financial results and gather feedback from Account Management teams and relay to senior management for forecasting/company health; explain any variances in revenue results vs. forecast
- Manage client purchase orders and client invoicing/SOW system (Ariba, Prisma, Decideware, etc.)
- Monitor and review WIP commentary inputted by Client Finance Analyst during month-end close
- Ensure Client Finance Analyst is billing out-of-pocket expenses promptly and that they are working with Accounts Receivable team to ensure client payments are timely
- Ensure Match Pay and/or Rush Payments are monitored and requested as needed to Executive Management
- Main point person for all client-related financial inquiries including, but not limited to, scoping, billing, and revenue recognition
- Enters SOWs/contracts within Revenue Recognition tool and ensure revenue calculation and results are reviewed by senior management on a monthly basis
- Continuous communication about portfolio with Senior Business Manager/Associate Directors and flagging major issues such as potential write-offs to Finance Directors in a timely manner
- Monitor all costs – agency fee, out-of-pocket, shared revenue, billable and non-billable jobs
- Spearheading bi-weekly tracker meetings with Account Management and Integrated Production teams, and coordinating with various teams within the US and internationally to ensure appropriate and timely tracking of shared clients
- Perform administrative duties involving data entry, such as rate card entry and/or rate-card mapping, job status, and estimate creation/status
- Manage and work through ad hoc requests within assigned accounts if needed
- Train Client Finance Analysts to run trackers, review invoices, and input estimates for billing/revenue/overall tracking and/or vendor PO creation and ensure timely completion.
- Manage, monitor, and mentor for the Client Finance Analyst
- Maintain Master Service Contracts and ensure that all contractual obligations are disseminated and followed
- Flag to Director in advance if contract expiration is nearing and/or rates need to be re-negotiated
- In partnership with Client Finance Analysts, review and transmit billing instructions, transfers, write-offs, and estimates to shared service center, ensuring all instructions are clear and appropriate approvals have been received prior to submission/completion
- Ability to work within a team and across departments while meeting and prioritizing multiple daily deadlines
